DUTIES Supports the activities of the Environmental Compliance Specialist, Field Services and Safety Coordinator; Administrative Analyst and the Vice President-Operations. Reports to the Secretarial Coordinator regarding secretarial scheduling, policies and procedures. SECRETARIAL: Opens, stamps, and distributes mail for Operations Department; answers telephone calls regarding Operations Department issues as needed; telephone backup operator for Receptionist and acts as front desk relief on an "as needed" basis; key operator for the fax and copy machines on the second floor; types general correspondence, purchase orders and various reports; maintains Employee ID program and employee photo directory; maintains files for real property reports, environmental compliance records, safety training records; data entry for water quality reports, safety program; assembles and distributes Lead and Copper Program bottles and letters; updates and distributes Company Operating Memorandums; creates, maintains, and updates computer forms and templates; updates and prints business cards and conservation brochures; distributes printed forms and conservation supplies to Division Offices; logs receipt of water meters for testing and coordinates meter delivery to ACC; twice a year creates, maintains and distributes Company newsletter using appropriate software and scanner. COMPLIANCE: Copies and assembles CAGRD and DWR reports, MSDS annual updates; copies and distributes ADEQ reports for Environmental Services Coordinator. INSURANCE: Submits liability and property damage claims; maintains claims database and files, tracks insurance company response to such submittals. INVENTORY: Orders special supplies for Operations department; orders general office supplies for Operations, Legal, Executive, Engineering departments; maintains inventory of general office supplies for second floor. COMMUNICATIONS: Processes communications invoices.
Performs other activites and duties as assigned. JOB QUALIFICATIONS EDUCATION: Must be a high school graduate. Additional course work in English grammar is desirable.
SKILLS: Must have a general knowledge of office practices and demonstrated proficiency with Microsoft Word for forms, macros, templates, manuals, reports and correspondence, and be familiar with Access, Excel, Outlook, and Adobe Photoshop. Must be proficient in proofreading. Must be proficient with electronic telephone systems and be able to handle multiple lines in a busy office in a professional and pleasant manner. Must be able to type at a minimum rate of 55 words per minute. Must be organized and detail-oriented. Must be able to communicate effectively with liability insurance agencies.
EXPERIENCE: Minimum five years experience as a secretary.
EQUIPMENT USED: Personal computer, laser printers, xerographic copiers, telephone system, calculators, facsimile machines, and other related office equipment.
PHYSICAL REQUIREMENTS: Must be able to perform routine preventative maintenance on fax and copy machines and replenishment of machine consumables. Must have the physical dexterity and ability to perform all duties and to perform at experience level required. Position requires sitting before a desk, computer, or other business machines approximately 80% of the day; occasionally walking to other offices, walking up or down stairs to deliver mail, files, etc. each day. Position also requires filing, stooping, bending, kneeling and reaching into file drawers approximately one third of a day per week. Must have manual dexterity to type and operate machines as specified in SKILLS, above.
PROFESSIONAL OR OTHER CERTIFICATION OR LICENSING: Must have a valid, appropriate Arizona driver's license with an acceptable driving record.
