REMOTE RESERVATION HYBRID (GROUP AND TRANSIENT)- GRAND HYATT BAHA MAR
Summary
Primary responsibility is to capture as many reservations as possible by utilizing effective selling techniques and handle managing group reservations process for the hotel. This person will be responsible for ensuring reservation accuracy prior to the guest’s arrival for both transient and group. This position requires multi-tasking and proactive initiative to ensure the expectation are met from transient perspective and that Groups are fully detailed for a seamless arrival experience. The ideal candidate would be self-motivated, sales-minded, customer-focused and detail-oriented with a high degree of computer literacy, the willingness to learn new processes, and the ability to merge into a dynamic work environment. RESPONSIBILITIES
Candidate will manage group reservations and group rooms inventory as part of the Event Planning process, specifically:
Establish initial contact with customer at file turnover
Maintain relationship with Meeting Planner, up to arrival, for all matters pertaining to guest room usage, including obtaining no show and wash history, obtaining and managing changes to rooming lists, and tracking and managing the inventory for all groups assigned.
Prepare and submit group rooms recap reports, including the tracking/posting of group comps, and rebate/commission calculations and detailed billing review to the Front Office team at arrival.
Give weekly updates of group trends to the Revenue team and manage cutoff dates with effective communication to the customer hotel.
In the off season, the Group Reservations Coordinator will assist in Transient Reservations duties: Assist guests by selling and booking future reservations Promptly follow up with guest inquiry leads for second chance bookings Answer telephone calls and emails in a professional manner Maintain potential and current guest profile information Assist customers with questions regarding their existing reservations Provide guests with general knowledge of the property and complex including restaurants, entertainment, special events and general directions Strong ability to multi-task and pay close attention to detail Deliver the highest standard of service to all customers Effectively manage daily correspondences and operational tasks to exceed customer expectations and expand customer base Display effective computer literacy and be familiar with MS Office software (Outlook, Word, Excel). Possess a positive and upbeat attitude at all times Exceptional verbal and written communication skills Desire to be part of high growth, fast paced business This is a fully remote position

QUALIFICATIONS:
Expert knowledge of Word, Excel and Power Point
Micros Opera knowledge preferred
Hyatt systems knowledge (Envision and Reserve)
Excellent multi-tasking and organizational skills

Education / Experience
A minimum of two years related experience and/or training in reservation or hospitality industry.
Communication Skills
Must demonstrate exceptional verbal and written communication skills, and possess excellent telephone etiquette.
Ability to answer guest’s questions and successfully resolve issues related to a guest's reservation.
Ability to effectively present information and respond to questions from managers and/or staff.
Must maintain clear and concise documentation and positive approach to conflict resolution.
Must demonstrate willingness to continually learn new processes, and the ability to merge into a dynamic work environment.
Computer Skills Must possess thorough knowledge of MS Windows and Office (Word, Excel, Outlook, Explorer, etc). Knowledge of Hyatt Reservations Systems a plus (Opera and Reserve) Physical Demands While performing the duties of this job, the employee is frequently required to sit for several hours at a time. The employee must occasionally lift and/or move up to 25 pounds.
