Records Manager (Legal) – Labor Grade 119 / Pay Range: $58,064.18 - $81,860.25 SUMMARY The Records Manager is responsible for Ascension Parish Government’s (APG) policies and procedures regarding records management, to include digital and physical storage, retention schedule, and compliance with federal and state laws (LA Statute 44). The Records Manager coordinates departmental efforts, further develops, and refines consistent policies and procedures, and monitors ongoing compliance requirements as it relates to the management, storage, release, retention, and destruction of all APG’s records series throughout its departments. MAJOR DUTIES · In accordance with federal, and state laws, responsible for APG’s records management program, which includes the development and continual update of policies and procedures, organization, and storage of all records series (automated and manual), maintenance and security of infrastructure and facilities that store permanent and nonpermanent records series - Works closely with all departments in order to understand and include their records (permanent and nonpermanent) in the overall parish wide records management program · Responsible for APG’s retention schedule and its compliance and submission to the Secretary of State’s office - Coordinates with all departments to include their specific records series in the retention schedule, which defines categories, media formats, back-up, and destruction timelines - Conducts research to determine the length of time each record series needs to be maintained based on their administrative, legal, fiscal, and historical value - Includes legal citations for each records series, if one exists, in the schedule - Develops specific retention and disposition instructions for each record series, including transference of inactive records to an appropriate records storage facility, the maintenance of long-term or permanent records within the parish, and/or transfer of custody of permanent records to the State Archives control · Assists the legal office with public records requests · Trains all departments on records management · Responsible for personal integrity and confidentiality with regards to the information contained within all records series · Any other duties as assigned MINIMUM EDUCATION AND EXPERIENCE QUALIFICATION REQUIREMENTS
Education and Experience: A bachelor’s degree from an accredited four-year college or university with a major or concentration in Records Management, Information Management, Public or Business Administration, or a related business field_ and_ (2) years of progressively higher level, directly related experience is required**
Combined Secondary Education and Experience: A combination of higher-level education and progressively higher-level, directly related experience may be substituted for educational requirements for a
total
of (6) years of experience is fully qualifying.

*Official transcripts, are required upon appointment **Directly Related Experience: responsible, professional experience in the development and maintenance of a comprehensive records management program and records schedule, which includes experience in administrative and project management or lead supervisory experience, preferably in the public sector with knowledge of applicable federal and state laws, especially Louisiana Statute 44.
