The ideal candidate will be responsible for managing day-to-day administrative tasks, coordinating service schedules, and ensuring smooth communication between our clients, service technicians, and internal teams. Job Responsibilities:
Administrative Support:
Provide administrative support to the service department, including answering calls, responding to emails, and handling client inquiries.
Prepare and maintain service-related documents, reports, and records.
Assist in the creation and distribution of service quotes, work orders, and invoices.
Scheduling and Coordination:
Schedule and coordinate service appointments, ensuring optimal utilization of technicians.
Manage calendars for service managers and technicians, including booking travel and lodging when required.
Track and confirm scheduled maintenance visits with clients.
Communication:
Act as a liaison between clients, service technicians, and internal departments to ensure clear communication and timely resolution of service requests.
Communicate any changes or updates in service schedules to clients and staff promptly.
Data Entry and Record Keeping:
Maintain accurate records of service requests, completed jobs, and parts inventory.
Update and manage the customer database, ensuring all information is current and accurate.
Process and file paperwork associated with service jobs, including safety documentation and compliance records.
Customer Service:
Greet and assist visitors in a professional and courteous manner.
Handle customer inquiries, resolve issues, and escalate complex problems to the appropriate personnel.
Follow up with clients post-service to ensure satisfaction and gather feedback.
Financial Support:
Assist with processing service-related invoices, purchase orders, and expense reports.
Track and report on service revenue and expenses, helping to maintain budgetary control.
General Office Duties:
Manage office supplies, equipment, and coordinate maintenance needs.
Assist in organizing company events, meetings, and training sessions.
Perform general clerical duties such as filing, copying, and scanning.
Qualifications:
High school diploma or equivalent; an associate degree in business administration or a related field is preferred.
Proven experience as an administrative assistant, preferably in a service-oriented or industrial environment.
Strong organizational skills and attention to detail.
Excellent communication and interpersonal skills.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with CRM or service management software.
Ability to multitask and prioritize in a fast-paced environment.
Customer service-oriented with a professional demeanor.
