Operations Division Support (Executive Support Specialist 1)
This recruitment is for one (1), permanent, full-time position located in Salem, OR (4190 Aumsville Hwy SE) and is a management service non-supervisory role therefore not represented by a union. This recruitment will be used to establish a list of qualified applicants and may be used to fill future vacancies.

What you will be doing:
This position will support the Deputy Directors, as well as provide support to the Operation Division (Consisting of Procurement, Business Services, Facilities, IT) by monitoring and auditing the operations of the division through administrative support. The role serves as the divisional liaison between agency divisions, state agencies, local government, and vendors/contractors. Key responsibilities include composing internal and external correspondence, managing mail distribution, and responding to public inquiries. The position also facilitates travel arrangements for Deputy Directors, maintains their calendar, and acts as the safety committee secretary. Additional duties involve preparing analytical reports, assisting with agency asset management, supporting contract administration, and contributing to the development of divisional goals and operational plans. The role includes administering updates and monitoring the division’s computerized management maintenance system.

The Department of Public Safety Standards and Training (DPSST) oversees the development of professional standards and the delivery of quality training for law enforcement officers, corrections officers, parole and probation officers, firefighters, telecommunicators, and emergency medical dispatchers. Minimum Qualifications:
Three (3) years of clerical/secretarial experience which included:
One (1) year at a full performance level performing typing, word processing, or other generating of documents AND lead work responsibility or coordination of office procedures.
Courses or training in Office Occupations or Office Technology may be substituted for up to one (1) year of the clerical/secretarial experience.

Working experience providing administrative support to managers.

Strong knowledge of data and document management processes; skilled in creating, formatting, and editing with appropriate grammar and punctuation.

Demonstrated ability to work quickly and accurately with shifting priorities while demonstrating strong attention to detail and commitment to high quality.

Experience with Microsoft Office Suite, including Excel, Word, and Outlook; Ability to work with various computer programs.
