Membership Assistant (Part-Time Contract)
Position Overview:
We are seeking a reliable and detail-oriented Part-Time Office Employee to join our team. The ideal candidate will handle a variety of general office tasks, as well as specialized responsibilities including application processing, fulfillment, corporate account audits, and inventory management. This role is critical in supporting the day-to-day operations and ensuring smooth workflow across departments.
Key Responsibilities:

General Office Support:
- Maintain filing systems, both physical and digital
- Provide administrative support to team members as needed
- Review and respond to any urgent emails, including ones received over the weekend
- Check voicemail and handle any priority phone messages.
- Organize any necessary follow-ups.

Data Entry & Application Management:
- Input and process applications with high attention to detail and accuracy
- File digital or physical documents, ensuring everything is organized for easy access.
- Print, scan, or copy documents as needed.
- Perform data entry for records, weekly reports, or invoices ensuring accuracy.

Fulfillment Tasks:
- Process and fulfill product or document requests
- Pack and ship materials according to specified guidelines
- Track and confirm deliveries

Corporate Account Audits:
- Perform routine audits of corporate accounts, ensuring accurate and up-to-date information
- Reconcile discrepancies and report findings to management
- Assist with the preparation of audit-related documentation and files
- Reconcile lapsed memberships
- Perform membership profile updates (addresses, insurances, etc)

Inventory Management:
- Conduct regular inventory checks of office supplies and other materials for presentation needs.
- Update inventory logs and ensure timely reordering of supplies
- Assist in organizing and managing stock levels
Qualifications:
- High school diploma or equivalent required; some college coursework preferred
- Previous experience in an office setting or administrative role is a plus
- Proficient in Microsoft Office Suite (Word, Excel, Outlook) and comfortable learning new software
- Strong organizational skills and attention to detail
- Ability to multitask, prioritize, and manage time effectively
- Excellent communication skills, both written and verbal
- Ability to work independently and collaboratively within a team
- Basic knowledge of accounting or inventory management is a plus
Work Hours:
This is a part-time position, with an estimated commitment of 20 hours per week. Flexibility in scheduling is available, but some fixed hours may be required.
