Medical Records Clerk

Description: Medical Records Clerk/SchedulerFull Time, Days, Monday - Friday, no nights, weekends or holiday!
As part of the LIFE's Senior Services PACE (Program of All-Inclusive Care for the Elderly) team, we perform a vital service by providing primary care for Tulsa's aging population. Our amazing team of professional’s provide services and oversight to our most vulnerable population by helping participants stay in their homes for as long as safely possible. The Medical Records Clerk/Scheduler will be supporting our PACE Clinic. In this full-time role, you will be responsible for scanning documents, updating the electronic health record, requesting records from specialists and hospitals, scheduling outside specialist appointments, uploading documents into the electronic medical record and responding to release of information (ROI) requests. As part of this role, you will ensure compliance with state and federal regulations, including HIPAA guidelines.
The ideal candidate will be able to work effectively in a team environment, able to multi task, detail-orientated, analytical skills and have the ability to maintain confidentiality and communicate effectively.
RESPONSIBILITIES:
  • Responsible for all aspects of scheduling and coordinating outside appointments for participants. Communicates with outside providers to set up appointments as requested by PACE providers. When appropriate, schedules transportation and an escort. Provides timely notification to the participant of the appointment and all appropriate details.
  • Manages rescheduling for cancellations appointments at the request of providers and/or patients.
  • Maintains and files medical records in the EMR for each participant enrolled in the LIFE PACE program. Participant medical records should be complete, accurate, easily retrievable, systematically organized, and available to staff and participants when requested.
  • Ensures data and information is accurate and complete (for name, spelling, signatures, dates, etc.) according to medical record documentation standards.
  • Obtain signatures for changes in authorizations to release protected health information.
  • Process requests for medical records. Provides for the prompt transfer of copies of appropriate medical record information between treatment facilities to ensure continuity of care.
  • Monitors all active participant records to ensure accuracy and compliance. Makes corrections as necessary.
  • Attends and participates in morning meetings, staff meetings, in-services and projects and committees as assigned. Participates in special projects and performs additional duties as required or assigned.
  • Brings participant requests for additional services to an IDT member as soon as possible upon request.
  • Adheres to and supports the organization’s policies, practices and procedures.
  • Accepts assigned duties cooperatively and performs all other related duties as assigned by Supervisor.
Requirements: EDUCATION & CERTIFICATIONS:
  • High School diploma or equivalent required.
  • A minimum of one-year experience working in a busy medical office using an EMR system.
  • A minimum of one-year experience working with the elderly population preferred.
  • Scheduling experience preferred.
