Supervisory Role: None Who this role reports to: Service Director/General Manager Position Summary: The Automotive Warranty Assistant is critical in ensuring the accurate and timely processing of all warranty claims. This position requires a strong understanding of automotive repair procedures, manufacturer guidelines, and dealership processes. The ideal candidate will be highly organized, efficient, and capable of precisely managing multiple tasks. Key Responsibilities: Warranty Claims Processing: Prepare, record, submit, and track warranty claims to manufacturers and distributors by their guidelines and timelines. Documentation Management: Ensure all warranty paperwork is adequately documented, filed, and maintained. Verify required criteria by manufacturers or distributors to maximize reimbursement. Reconciliation: Reconcile warranty receivables with payments and post-credits, and promptly resubmit any rejected claims or seek authorization for write-offs. Communication: Collaborate with service advisors, technicians, and manufacturers to resolve any issues related to warranty claims. Provide clear, accurate information to customers regarding their warranty inquiries. Part Tracking: Tag and track warranty parts with repair order numbers and manage the shipment or disposal of parts in compliance with manufacturer requirements. Audit Preparation: Maintain well-organized records to assist in the preparation for manufacturer audits. Compliance: Stay informed of factory recalls, bulletins, and warranty policies to ensure all claims comply with the latest updates. Support Duties: Assist with body shop warranty claims, cashier duties, and other clerical tasks as needed, ensuring a seamless service experience. Skills: Strong organizational and multitasking abilities. Proficiency in dealership management software (DMS) and related systems. Excellent verbal and written communication skills. Ability to read and interpret documents such as safety rules, operating instructions, and procedure manuals. Basic mathematical skills, including the ability to calculate figures and amounts such as discounts, interest, and percentages.
