SUMMARY: The Administrative Assistant is a critical member of the Head Start team and the Youth & Child Unit. Primary responsibilities are to provide administrative and clerical support to members of the management team, program manager, and Youth & Child Unit so that internal processes are smooth and efficient.
PERFORMANCE RESPONSIBILITIES:
- Assist with Head Start application process and data entry into Child Plus software.
- Maintain the Monthly Data reports for accuracy.
- Develop and maintain all in-kind reports for the program.
- Assist with preparing for monthly Policy Council and Management Team meetings.
- Record meeting notes for the Policy Council and Management Team meetings.
- Maintain a Teams folder for the Policy and Management Team meeting notes, agenda and agenda items.
- Submit purchase requests for the Head Start Central Office and assist with village-based purchase requests when needed.
- Create and update Head Start staff travel and reconciliation.
- Maintain Program Operations and Central Office Calendar and revisions.
- Assist Head Start Manager in grant preparations.
- Assists in putting any Head Start Program data into the appropriate software.
- Maintain organization of the program’s electronic and paper filing systems.
- Work closely with the accounting department for purchases on behalf of the program.
- Answer all questions regarding purchasing.
- Responsible for general clerical duties as assigned.
- Maintain strict confidentiality.
- Other duties as assigned.
QUALIFICATIONS: The individual must be able to perform each essential duty satisfactorily. This position requires strong written, oral, organizational, and computer skills and knowledge of general office equipment. Must pass a physical examination and criminal background check. EDUCATION AND EXPERIENCE: High school graduate or GED is required.
