Job Description – Front Desk Supervisor The Front Desk Supervisor serves as a key support role to Charlotte Ballet operations and Academy administration. The role will supervise the Front Desk and ensure the first impression Charlotte Ballet gives to its visitors, guests, and callers is welcoming, informative, and professional. The Front Desk Supervisor will ensure that all Reception Ambassadors are trained, knowledgeable, and able to assist with daily administrative and operational tasks. Design and publish weekly schedules for all part-time Reception Ambassadors.
Develop, update, and document workflows for Reception Ambassadors; implement training.
Greeting visitors in a warm, welcoming, and accommodating fashion.
Accepting deliveries, announcing visitors to appropriate employees.
Answering Charlotte Ballet main phone line, directing queries to the appropriate department or employees, taking messages when necessary.
Addressing general questions from walk-up visitors.
Forwarding calls and messages to appropriate employees.
Sorting incoming mail.
Charlotte Ballet Operations & Academy Administration
Assist with Charlotte Ballet calendar management, including Academy studio reservations.
Coordinate with Academy Management to prepare for Academy classes, events and performances.
Coordinate with Artistic, Production, Marketing, Development, and Education & Community Engagement to prepare for their special events and guests, and to maintain open communication throughout the organization.
Prepare placement class forms for all new students.
Managing walk-up sales and check-in for Adult Drop-in Division and Intersession classes
Process Academy payments and forms when delivered in person.
Assist with outgoing mailings.
Additional data entry and other administrative projects as assigned.
Education, Qualifications, and Competencies
High School diploma required.
1 – 2 years of reception experience preferred.
1 – 2 years of supervisory experience preferred.
Must have a flexible schedule to include occasional nights and weekends, and the ability to work in a fast paced, high volume event environment.
Must be outgoing, welcoming, attentive to detail, and professional.
Demonstrated excellence in verbal and written communication.
Basic computer skills: Word, Excel, Point of Sale, Credit Card Machine, Copy Machine, Postage Machine
Proficiency in Spanish (written & verbal) preferred, but not required.
Compensation & Benefits
$35,500 – 38,500 annually

FLSA Status/Classification The Front Desk Supervisor will be considered Full-time and Exempt in status.
