First-Year Conservatory Admissions and Slate Functional Team Lead

Shenandoah University’s Office of Admissions is accepting applications for a First-Year Conservatory Admissions and Slate Functional Team Lead. This is a full-time, benefited position located on our main campus in Winchester, Virginia.
We are seeking a highly skilled and motivated Functional Lead to oversee the use and implementation of Slate Technolutions CRM for our First-Year Conservatory Admissions team. The ideal candidate will possess extensive experience with Slate CRM, a strong understanding of Shenandoah University’s admissions processes, and the ability to drive best practices and optimize the use of technology to enhance the Office of Admissions’ mission and goals.
The Assistant Director – Functional Lead will also be responsible for managing an individual recruitment territory and for providing a high quality service to prospective students and families throughout the recruitment, application, and acceptance/enrollment processes. The Assistant Director will often be the prospective student’s first contact with the university and must recognize the importance of building a
relationship based on the professional, correct, and timely exchange of information.
The ability and willingness to work among a team, independently, and until the task is completed successfully, is essential.
Primary Responsibilities:
  • CRM Management and Optimization:
    • Function as the FY and Conservatory team’s Slate Captain, working collaboratively with the Admissions Operations team and other Slate Captains to drive the management, configuration, and optimization of the Slate CRM system to ensure alignment with First-Year Admissions goals and processes.
    • Develop and implement new strategies to maximize the effectiveness and efficiency of the FY and Conservatory team’s needs for the Slate CRM system.
    • Assess current admissions processes and identify opportunities for improvement using Slate CRM.
    • Develop and implement process enhancements to streamline workflows and improve overall efficiency.
  • Best Practices and Training:
    • In collaboration with the Admissions Operations team, establish and promote best practices for using Slate CRM within the FY and Conservatory admissions team.
    • In coordination with the Director for FY and Conservatory Admissions, design and lead training programs and documentation for team members to enhance their proficiency with the CRM system
    • Act as a primary point of contact for CRM-related questions and support for members of the FY and Conservatory team.
  • Collaboration and Communication:
    • Work closely with the Director of FY & Conservatory Admissions, the Admissions Operations team, On Campus Experience team, and Slate Captains to better understand systems capabilities and ensure the FY & Conservatory team’s use of the CRM system meets their requirements.
    • Facilitate effective communication between the Admissions Operations team and the FY and Conservatory team end-users to address issues and gather feedback.
  • First-Year Student Recruitment:
    • Manage an individual recruitment territory, and function as the primary point of contact as students navigate the application, admission, and decision-making process. Travel for recruitment is required.
    • Propose and adjust prior years’ recruitment strategies and events schedules, including discontinuing, modifying, or relocating previously held events.
    • Develop special outreach campaigns and new events that will pique the interest of prospective students in the territory (and/or their parents). Be responsible for planning, implementing, and executing their campaigns and events, and selecting which high schools to visit and which college fairs to attend.
    • Develop innovative approaches to increase awareness and interest among groups within the designated territory. These groups include, but are not limited to, prospective students and families, school counselors and administrators, school and community organizations, private instructors, and independent education counselors.
    • Review applications and exercise discretion and independent judgment, including their knowledge of factors contributing to student success, to determine best fit candidates for admission within their designated territory. They are also responsible for notifying applicants of their admission decisions.
Additional responsibilities include, but are not limited to:
  • Enthusiastically and professionally representing the university at off-campus recruitment events.
  • Working in coordination with the Admissions Welcome Center Coordinator, assisting in the planning and executing of campus visits for prospective students, families, and school/community groups. This requires collaboration with other university departments, most commonly academic faculty, student life organizations, and athletics.
  • Giving admissions presentations to large and small groups during daily campus visits and coordinated group visits, as well as providing main campus tours and special tours of other buildings, as needed. Fully participating in on-campus recruitment events that occur throughout the year, including, but not limited to, Open Houses, Student Shadow Days, Interviews, and Auditions.
  • Independently managing a series of Saturday Visits throughout the fall and spring, which will be distributed equitably among the members of the First-Year Recruitment team.
  • Maintaining student records and communicating with prospective families.
  • Other responsibilities and duties as assigned by supervisor(s).




Required Skills
Skills:
  • Strong analytical skills with the ability to interpret data and generate actionable insights. o Excellent communication and interpersonal skills (both oral and written), with the ability to train and support team members.
  • Proven project management skills with the ability to manage multiple priorities and deadlines.
  • Ability to adapt to, and utilize, numerous technology applications appropriately. o A basic understanding of how to use data to accomplish a goal.
  • Ability and willingness to work evenings, weekends and to travel overnight with a schedule averaging 12-18 weeks per year. Adhering to university policies and procedures regarding travel is required.
  • Must be able to lift 50 lbs. into and out of a vehicle.
  • Valid driver’s license with good driving record and ability to pass a driving background check.


Required Experience
Education:
  • Bachelor’s degree is required (preferably in Information Technology, Business Administration, or a related field)
Experience:
  • 2+ years of experience in admissions, sales, customer service, advising, counseling, or related field.
  • In-depth knowledge of Slate CRM functionalities and best practices.
  • Familiarity with Apple computers and software, as well as Microsoft software, including Word and Excel.
