Overview:
We are seeking a highly organized and detail-oriented Executive Secretary to provide comprehensive administrative support to the Municipal Attorney. The ideal candidate will possess exceptional communication skills and a strong ability to manage multiple tasks efficiently.
Duties:
Prepares memorandums outlining and explaining administrative procedures and policies; plans conferences; acts as custodian of City documents and records; schedules appointments, provides information to callers; composes and types correspondence; reads and routes incoming mail; performs other administrative and clerical duties; processes purchase orders; billings, financial and budgetary statements, audits or checks, prepares and compiles information for prosecution including officer statements, witness statements, accident reports, photographs, record and background checks, medical records, medical billing, insurance payments and DUI/Accident timing information; prepares and supplies the discovery material to the defense attorney; prepares precipes for subpoenas after review of reports; prepares complaints for prosecution; responsible for collection and disbursement of restitution in the approximate amount of $50,000 annually; responsible for tax return letters and criminal tax complaints; order office supplies as needed; prepare miscellaneous pleadings to be filed in court including but not limited to: dismissals, amendments, protection orders, discovery requests and show cause motions; extensive contact with the public and defendants; records keeper for Law Enforcement Automated Data System (LEADS); preparation of police union contracts; scheduling of polygraph examinations and preparation of polygraph agreements; locates and attaches appropriate file to correspondence to be answered by City Attorney; composes, types, files and copies routine correspondence and printed matter; orders or cancels reference materials and updates reference materials; types ordinances and resolutions prepared by City Attorney; types and prepares contracts and agreements for City; prepares documentation for City real estate purchases; close yearly files and prepare for basement storage.
Assist in trial preparation when necessary.
Sub for Executive Secretary when on leave.
Knowledge of: Legal terms; Versed and experienced in variations between civil and criminal cases. Broad knowledge of legal field. Skill in: Basic math concepts. Effective communication, both written and oral. Ability to: Communicate and respond positively to public. QUALIFICATIONS: High School diploma and legal experience. LICENSURE OR CERTIFICATION REQUIREMENTS: Paralegal or related Criminal Justice Degree preferred. Job Type: Full-time Pay: $15.10 - $25.00 per hour Benefits:
