Overview: As an Executive Assistant at our company, you will provide crucial administrative support to our Division Manager. Your responsibilities will encompass managing calendars, coordinating e-commerce sales activities, assisting with sales and marketing tasks, and facilitating communication between the Division Manager and Regional Managers. Additionally, you will handle expense reporting and ensure the smooth operation of daily office functions. Key Responsibilities:
Administrative Support:
Serve as the primary point of contact for executives, employees, clients, and external partners.
Manage information flow efficiently and accurately.
Coordinate executives' calendars and schedule meetings.
Sales and Marketing Support:
Assist in e-commerce sales activities and coordination with Regional Managers.
Support sales and marketing initiatives as required.
Financial Administration:
Track daily expenses and prepare weekly, monthly, or quarterly reports.
Assist in preparing expense reports for the Division Manager.
Office Management:
Supervise and oversee other clerical staff as needed.
Maintain office supply inventory and manage office gadgets and applications.
Communication and Documentation:
Prepare and format internal and external communications, including memos, emails, presentations, and reports.
Take minutes during meetings and distribute correspondence.
Organizational Maintenance:
Organize and maintain the office filing system for easy retrieval of documents.
