Location: Puyallup, WA Reports to: Service Manager Salary: $25.00 - 25.00/hr Ideal Candidate We are seeking a highly organized and detail-oriented Warranty Claims Coordinator to join our team. In this role, you will be responsible for processing warranty claims efficiently and ensuring proper documentation and follow-up for all claims. You will work closely with both internal teams and external customers, ensuring accurate and timely claim resolutions. The ideal candidate should have a customer-focused attitude, strong attention to detail, and excellent communication skills. Essential Duties and Responsibilities:
Greet both external and internal customers in a professional, friendly manner. Actively listen to customer concerns and provide accurate information and advice.
Timely process warranty claims for each franchise or distributor, ensuring all necessary documentation is complete and accurate.
Thoroughly review repair orders for proper documentation and assign applicable labor operation codes based on technician notes and work descriptions.
Flag appropriate technicians for the hours earned based on operations they performed.
Cross-check each repair order against vehicle service history to avoid duplicate claims.
Monitor the use of special warranty programs to prevent abuse or fraudulent activities and report any issues to management.
Reconcile all warranty receivables with payments through the appropriate accounting schedule.
Post credits on the computer system as required.
Proactively follow up on the payment of outstanding claims.
Correct and resubmit rejected claims, or receive authorization to write them off.
Contact the relevant warranty claims representative for claims that require special authorization.
Provide weekly updates to the Service Manager regarding claim status and progress.

Requirements:
Previous experience in warranty claims processing with Chrysler and GM is a plus.
Understanding of warranty programs, repair order documentation, and service history.
Strong attention to detail, excellent organizational and time-management skills, and ability to work under pressure.
Strong verbal and written communication skills to interact with customers, technicians, and management.
Proficient with warranty management software and general office software.
Ability to identify discrepancies in claims and work toward resolutions
