We are currently seeking: Assistant Contract Administrator The Assistant Contract Administrator will be responsible for supporting the Contract Administrator with preparing, reviewing, negotiating, and administering contracts, ensuring company compliance with all government regulations including Federal Acquisitions Regulations (FAR), and administration bonds and insurance related to contracts and subcontracts.
Responsibilities Contract Administration Support
Responsible for assisting with reviewing all contracts received from customers.
Monitors contracts and agreements from initial receipt through completion, checking their status and assist in resolving issues that arise as necessary.
Assists other departments with contract processes, forms, reporting, and compliance.
Maintains organized system of contract record keeping in master database.
Responsible for contract filing and compliance.
Reviews contracts to ensure compliance with state and federal laws and regulations.
Analyzes potential risks involved with specific contract terms.
Ensures all deadlines and conditions described in contracts are met.
Assist with scheduling meetings with Department Director, Project Manager, Project Estimator, and other team members as needed to review key points of contract including scope, price, insurance, and other contractual requirements noteworthy for operations.
Make final recommendations to the Department Director before final negotiations with end user or execution of contract.
Ensure that other team members understand and comply with company contracts.
Assist with seeking scope and price input from Project Managers and pair with company boiler plate subcontracts along with prime contract flow downs, as needed.
Manages W9 and COI requests and sends to accounts payable.
Maintain subcontract database and checklist.
Support Contract Administrator to Ensure SF1413 forms, bonds, COIs, license/permits, pre-qualifications, subcontracts, and other required contract documentation are completed and submitted in a timely fashion with contracts.
Take lead in completion of pre-qualification forms / packets and vendor enrollment forms / packets.
Obtain input from Finance Department for financial sections.
Maintain pre-qualification & Vendor enrollment log to track all received and submitted documents.
Assist Project Managers in the administration and compiling of subcontract agreements, service contracts and other agreements as needed.
Pair with company boiler plate subcontracts along with prime contract flow downs, as needed.
Manages subcontractor W9 and COI requests and sends to accounts payable.
Maintain subcontract database and checklist.
Serves as a contract liaison for vendors/subcontractors, dealing with questions and contracts changes as necessary, and obtaining the required approvals and signatures.
Works with Accounts Payable to resolve contract and payment issues as needed.
Assist Project Managers in the review and execution of change orders for current projects to ensure risk mitigation and timely execution of said change orders
Assist Project Managers in compiling required close-out submittals upon request.

Insurance/Bond Administration
Assist Contract Administrator with the coordination of the company insurance program administration and provide regular communication to insurance broker for insurance needs related to contracts and subcontracts.
Provide company insurance information (COIs) to clients and request the same from subcontractors or vendors as necessary.
Ensure the company has adequate protection on projects per contract requirements or other liabilities as they present themselves.
Coordinate with company insurance program administrator to update state workers compensation needs as company performs work in new states, not already provided.
Procure bonds (Bid Bonds or Payment/Performance Bonds) as needed on projects.
Other related duties as assigned.
Qualifications
Bachelor’s degree in business administration, Paralegal Studies or related field required.
Experience as a paralegal or in contract administration preferred.
Experience in paralegal or contract administration preferred.
Extensive knowledge of contract principles and procedures.
Excellent organizational skills and attention to detail.
Excellent administrative skills.
Excellent written and communication skills.
Proficient in Bluebeam, Adobe, or similar software preferred.
Proficient in Microsoft Office Suite or similar software.
Prolonged periods sitting at a desk and working on a computer.
Must be able to lift up to 15 pounds at times.
