Administrative Assistant- Human Resources and Accreditation

The Presbyterian Home for Children in Talladega, AL is currently looking for a fun, outgoing, go-getter to work in our Human Resources department. The job is located in Talladega, AL, and does require you to work in Talladega M-F 8-5. The Home has been around since 1868 providing healing and hope to at-rick children and families.
Position Summary :
The Presbyterian Home for Children (PHFC) Administrative Assistant - Human Resources and Accreditation provides crucial administrative support to the Vice President of People, Culture, and Administration.
Purpose of Position:
To be a successful Administrative Assistant-Human Resources and Accreditation, you must be willing, and able, to do the following always:
1. Model and act in accordance with PHFC’s mission and core values.
2. Provide comprehensive support to the Vice President of People, Culture, and Administration, handling a range of administrative, Accreditation, and HR-related tasks.
3. Perform the essential job functions as described in the task list from the Program Departmental Manual;
4. Function within Presbyterian Home for Children policies and procedures as outlined in Employee’s Guide to Successful Employment with PHFC;
Qualifications:
  • Education: Associate’s degree in Business Administration, Human Resources, or a related field; Bachelor’s degree preferred.
  • Experience: Minimum of 1-3 years of experience in an administrative support role, with exposure to HR and/or accreditation processes preferred.
  • Skills:
  • Strong organizational and multitasking abilities.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, Power Point).
  • Attention to detail and ability to handle sensitive information with confidentiality.
  • Ability to work independently and collaboratively in a team environment.
· Must have a valid Alabama Driver's License,
· Must have a clear ABI/FBI background check,
· Must pass physical and TB test,
· Must pass a drug screen,
· Must be insurable to drive PHFC vehicles.
To be successful in the role of Administrative Assistant- Human Resources and Accreditation, you must be willing and able to do the following task list:
Administrative Support:
  • Provide administrative assistance to the HR and Accreditation teams, including scheduling meetings, managing calendars, and preparing reports and correspondence.
  • Maintain and update HR and accreditation records and files, ensuring accuracy and confidentiality.
  • Coordinate and organize departmental meetings, training sessions, and events.
Human Resources Support:
  • Assist with recruitment activities by posting job openings, scheduling interviews, and coordinating candidate communications.
  • Help with the onboarding process for new employees, including preparing orientation materials and tracking necessary documentation.
  • Support HR functions such as employee record-keeping, benefits administration, and compliance with labor laws and company policies.
  • Coordinate pre-employment background checks, physicals, and drug screening as required.
Accreditation Support:
  • Assist with the preparation and submission of accreditation documents and reports, ensuring all requirements are met.
  • Track deadlines and ensure timely submission of accreditation materials.
  • Coordinate internal audits and reviews to ensure adherence to accreditation standards and guidelines.
Documentation and Compliance:
  • Ensure that all HR and accreditation documentation is accurate, up-to-date, and compliant with relevant regulations and standards.
  • Help with the development and implementation of policies and procedures related to HR and accreditation.
· Assist with the preparation and submission of reports and documentation required for audits and legal compliance.
· Ensure compliance with labor laws and company policies by maintaining accurate and up-to-date records.
Communication and Coordination:
  • Serve as a point of contact for internal and external stakeholders regarding HR and accreditation inquiries.
  • Facilitate communication between departments to ensure seamless coordination of HR and accreditation activities.
Reporting and Analysis:
  • Assist in generating reports related to HR metrics and accreditation status.
  • Analyze data and prepare summaries for review by HR and accreditation teams.
Training and Development:
  • Schedule and coordinate training sessions, workshops, and seminars.
  • Assist in tracking employee training and development activities.
Benefits Administration:
  • Provide support for benefits administration, including enrollment, changes, and claims processing.
  • Assist employees with benefits-related inquiries and issues.
Minute Preparation and Distribution:
  • Attend Board of Trustees meetings and accurately record discussions, decisions, and actions.
  • Document key points, motions, votes, and action items clearly and concisely.
  • Prepare draft minutes and review them for accuracy and completeness.
  • Distribute draft minutes to Board members for review and feedback.
  • Incorporate feedback and finalize the minutes for approval.
  • Maintain organized and accessible records of all meeting minutes and related documents.
  • Ensure that all minutes are filed according to organizational policies and legal requirements.
  • Ensure that meeting minutes comply with organizational policies, legal standards, and best practices for documentation.
  • Assist with audits and reviews related to Board documentation as needed.

10. We require everyone to be on direct deposit which saves our employees time and money having to go to the bank. Payday is every other Friday. It starts on Thursdays and ends on Wednesdays every two weeks.
Job Type: Full-time
Pay: $18.00 - $22.00 per hour
Expected hours: No more than 40 per week
