Under the direction of the Triage Manager, the Triage Weekend Staff Coordinator will work in collaboration with the Triage RN Supervisor to facilitate staff scheduling and support staff that provide direct patient care.
Primary Responsibilities:
1. Triage responsibilities:
- Coordinate scheduling for Triage Weekend staff.
- Creates weekend RN visit assignments based on team requests, Triage add-ons, and admission visit needs.
- Communicate PRN staffing schedules to Nursing Support Services.
- Collaborate with other departments to fulfil staffing needs.
- Ensures accuracy of department payroll, addresses, and corrects discrepancies, and approves up to appropriate level.
- Reviews and approves PTO requests up to appropriate level.
- Support weekend staff of all disciplines.
- Handles non-clinical overflow calls.
- Coordinates additional staffing assistance from teams, as needed, based on visit volume.
- Assists weekend staff with intradepartmental and outside vendor communication.
- Assist with quality assurance follow-up and tracking.
- Monitors compliance of staff attendance and communicates staffing concerns to appropriate department heads, as needed.
- Plan and coordinate Triage/Baylor Department Events.
- Collaborates on and facilitates process improvements for Triage/Baylor.
2. CIC/Comfort Care weekend responsibilities:
- Coordinate identified staffing needs for Crisis Intervention Care and Comfort Care cases in the Long-term Care and Homecare settings.
- Prioritizes fulfillment of the staffing needs while maintaining the appropriate agency standard staffing mix related to LPN/CNA for all Crisis Intervention Care cases as directed and CNA for Comfort Care cases.
- Coordinate staffing needs unmet by Community Hospice staff with Contracted Agency Staffing Coordinator.
- Coordinate assigning of CIC staff to assist with GIP or Triage when CIC/CC assignments are not available.
- Completes staffing assignments by providing scheduled staff with appropriate and thorough information regarding scheduled assignments.
- Appropriately notifies and documents all staffing needs met and unmet.
- Notifies team/appropriate personnel of staffing status.
- Performs data entry, report recording, and clerical duties related to all Crisis Intervention/Comfort Care services as directed.
- Generate and distribute CIC End of Shift Report.
3. Organizational responsibilities:
- Supply and DME ordering as requested by Triage staff.
- Manages, processes, and assigns visits for weekend HHA staff, based on patient needs, both for pre-assigned and add-on visits.
- Tracks census by logging all status changes in levels of care, such as admissions, deaths, discharges, and transfers on a change of status form.
- Generate and distribute Change of Status Report.
Education:
- High school diploma or GED equivalent.
- Two (2) years of administrative experience in a hospital or office setting.
- Intermediate to advanced computer skills, word processing experience with ability to type, file and do general clerical work.
- Experience with Excel spreadsheets and reports.
- Level II AHCA (Agency for Healthcare Administration) background screening.
Skills:
- Ability to communicate and establish rapport with patients/families.

- Excellent organizational, interpersonal, telephone, data entry, reporting, documentation, and communication skills.
