Dental Receptionist/Administrator

Job Overview
We are seeking an experienced friendly, organised, and professional Dental Receptionist/Administrator to join our team. Being the first point of contact for patients and referring dentist, you will be responsible for delivering exceptional service to our clients and ensuring a smooth flow of operations in our dental office. You will be a key part of a small and friendly team. This role requires strong organisation and communication skills and the ability to handle a variety of tasks professionally and efficiently.
AS Endodontics is Edinburgh’s only purpose-built clinic offering solely endodontic, root canal, services in Edinburgh and its surrounding areas. At AS Endodontics, we strive for excellence and aim to provide the leading endodontic service for our valued referring dentists with the most effective, timely treatment and care for patients.
Key Responsibilities
Client Communication:
  • Ensure clients receive relevant communication in the referral and appointment booking process using the systems in place.
  • Greet and check in patients upon arrival, providing a warm and welcoming environment.
  • Answer phone calls and respond to emails, addressing inquiries about dental services and scheduling appointments in a timely and professional manner
  • Confirm and remind patients of upcoming appointments using the systems in place
Appointment Scheduling:
  • Coordinate and schedule new patient consultations and follow-up visits ensuring efficient time management of dentists’ diaries.
  • Assist in managing patient flow by ensuring patients are seen in a timely manner.
Administrative Duties:
  • Maintain accurate customer records by updating client information and documenting interactions.
  • Maintain and update referring dentist records and spreadsheets.
  • Ensure all relevant patient documentation is complete before appointments.
  • Collect payments for dental services, issue receipts and generate end of day report.
  • Provide relevant reports to Management
  • Maintain confidentiality of patient information in accordance with regulations.
  • Support the dentists with any additional administrative tasks.
Experience
  • You will have two years (preferred) proven front of house reception/administrator experience.
  • Experience as a receptionist in a private dental or medical office, is preferred however a customer service background will be considered.
Skills
  • Have initiative and enthusiasm for high standards of customer care
  • Excellent verbal and written communication skills.
  • Computer literate in Word, Excel and preferably Dentally
  • Strong organisational skills and attention to detail.
  • Ability to multitask in a fast-paced environment.
