The main purpose of the job is to offer administrative and clerical support to both the construction team and our clients in all office procedures to ensure efficient and effective running of the office. MAIN DUTIES AND RESPONSIBILITIES
•Assist in the preparation of documents including reports, certificates and emails.
•Drafting letters and emails on behalf of the department as and when advised.
•Organise and schedule meetings/site visits/conference calls/events as and when directed.
•Maintain electronic and paper filing systems.
•Answer telephones and direct the caller to the appropriate team member
•Address client queries in a timely and professional manner.
•Open, sort and distribute incoming correspondence including but not limited to emails, letters, and parcels.
•General day to day running of the office department, including photocopying and scanning documents.
•Any other ad-hoc tasks as assigned by line manager and department colleagues.
PRE - REQUISITES FOR CANDIDATES
•Previous administrative experience within a fast-paced environment is essential.
•Strong knowledge of office management systems and procedures.
•Proficiency in MS Office –Microsoft Word, Excel, Power Point in particular.
