Project Manager

Motif Interiors is looking for a Project Manager to join our company!
JOB ROLE:
The Project Manager is responsible for monitoring projects that have been assigned to the Project Management team to ensure that each project is completed on time, within budget and scope, and that the desired result is achieved with the most efficient use of resources. His / Her key role is to ensure that the project’s objectives and the different interests of the involved stakeholders are met, and financial, technical, and contractual specs agreed with clients are met.
Key Duties & Responsibilities
  • Coordinate with all stakeholders including internal teams and external vendors for the successful delivery of projects measured as completed on time, within the budget allocated and in acceptable quality.
  • Obtains a comprehensive understanding of the project requirements prior to commencement of site work. This includes review of fit-out contracts, approved drawings, BOQ, fit-out manuals & building and authority inspection requirements.
  • Ensure technical feasibility of all aspects of the project deliverables.
  • Bring to the attention of the Project Director any items that are missing from the BOQ, material list, and shop drawing logs of the project.
  • Ensure resource availability and allocation.
  • Monitor status of material and shop drawing logs (approval and procurement) regularly and notify the Project Director of on-site requirements at least 2 weeks ahead of schedule.
  • Recording change requests and obtaining approval on the same from clients in a timely manner including any changes to cost and time. Liaise with planning, procurement, and estimation to obtain the required information.
  • Quality control of all deliverables including review and inspection of fine detailing, methodology of installation/application works. Regular site and factory visits as required to ensure delivery of high quality.
  • Represent the company in meetings with clients and other stakeholders. Initiate meeting requests as required to resolve outstanding issues.
  • Project self-snagging and de-snagging without waiting for client to raise issues.
  • Timely response to all communications from client and other stakeholders. Acknowledgement of receipt of emails as a bare minimum should be communicated within 1WD.
  • Report on performance of subcontractors and project teams including confirmation of release of progress payments.
  • Report on achieving milestones as defined in the approved program for invoicing purposes.
  • Identify, highlight, and mitigate (where possible) project risks, potential delays, and any deviation from client approved plans to the Project Director wherever applicable (delayed procurement, approvals, payments to sub-contractors, unavailability of planned resources, etc.).
  • Ensure site works are always proceeding as per approved documents (drawings, samples).
  • Ensure compliance with the process and guidelines of the building management team.
  • Anticipate and action project inspection and close-out requirements in a timely manner.
  • Proactively look to identify any works and associated costs not considered in the approved BOQ and escalate to the Project Director for appropriate action.
  • Full control of site at all times including maintaining permits, HSE requirements, and productivity.
  • Report and escalate any issues that may affect successful project delivery to Project Director as required.
MIS, Reports & Documentation
  • Daily, weekly, and monthly reporting as required. Actual vs planned progress to be provided on a weekly basis with a 2-week lookahead.
  • Prepare and distribute progress reports, manage risks and issues, correct deviations from plans, and perform delivery planning for assigned projects in coordination with the Quantity Surveyor (QS).
  • Maintain comprehensive project documentation including lessons learned, MOMs, O&Ms, as-builts, etc.
  • Fill in the service acceptance letter (SAL) after project completion.
  • Prepare the final closing documents including the technical write ups.
  • Health & Safety
  • Establish health and safety best practices as per industry benchmarks and ensure adherence to standards by achieving company health and safety targets.
  • Conduct regular audits as required by the company audit schedule to ensure compliance with regulatory and company requirements. · Involvement in installation investigations as required.
  • Ensure projects are compliant with all appropriate Health and Safety, legislative and business requirements.
Key Performance Indicator (KPI)
  • Project Completion Time: Projects completed on time according to the established schedule.
  • Budget Adherence: Projects delivered within the allocated budget.
  • Quality Assurance: Defects or errors found during inspections.
  • Client’s Satisfaction: Client feedback or testimonials.
  • Resource Utilization: Efficient allocation of resources, such as labor, equipment, and materials.
  • Change Request Management: Number of change requests received, approved, & implemented within the specified timeframe.
  • Client Communication: Timeliness of responses to client and stakeholder.
  • Subcontractor Performance: Evaluate the performance of subcontractors based on predefined criteria.
  • Milestone Achievement: Track and report progress on achieving project milestones as defined in the approved program.
  • Risk Management: Identification, reporting, and mitigation of project risks and deviations from approved plans.
  • Compliance with Guidelines: Compliance with building management guidelines and relevant regulations.
  • Health & Safety Performance: Adherence to health & safety standards by tracking safety incidents, audits, and achieving set targets.
  • Documentation & Reporting: Accuracy of project documentation, including progress reports, lessons learned, and closure documents.
  • Service Acceptance: Timely completion and submission of the service acceptance letter (SAL) after project completion.
  • Health & Safety Compliance: Compliance with health & safety regulations & company requirements for all projects.
  • Audit Compliance: Audits to assess compliance with regulatory and company requirements.
  • Installation Investigation: Effectiveness in resolving installation investigations.
Education & Experience
  • Minimum of a Bachelor’s degree in Engineering or equivalent. Masters will be preferred.
  • PMP Certification is highly desirable. · Preference will be given to the candidate holding ISO-140001 & OHSAS-18001 certifications.
  • 6+ years of experience as Project Manager/Site Engineer/Project Engineer within Interior Design/ Construction/ Fit-out/ industry within GCC
  • Knowledge of local building codes, regulations, and industry standards Trainings:
  • Project management software · Microsoft Dynamix 365 and MS Office suite – MS Project, Power Point, Excel, Word
