Responsibilities and Accountabilities:
General Administration (including facilities management)
Supervise general administration and develop, review, and improve policies, systems, and procedures, and generally ensuring the office operate smoothly and efficiently. And work with SHE officer to ensure that policies and procedures have meet the local government regulation and global SHE guideline.
Ensuring office is stocked with necessary supplies and all equipment is working and properly maintained as well as working with accounting and management team to set budgets, and monitor spending.
Responsible for office facility management which includes to be the main contact for the Nan Shan Building management, and work with respective external vendors.
Accountable for services such as cleaning, security, reception and parking, to make sure the surrounding environment is in a suitable condition to work, and to work with respective external vendors.
Manage any building maintenance with things like heating and air conditioning, to maintain the working environment.
Manage all aspects of the office’s space/infrastructure planning (moves, adds, and changes to workstations) and provide answers, resources, and solutions as requested
Administrative Support
Exercises independent judgment and discretion with sensitive/confidential and proprietary information
With high attention to detail, plans, coordinates and manages a complex and dynamic calendar that includes coordination of personnel in different geographical regions/time zones. Calendar may include meeting scheduling, resolution of scheduling conflicts, scheduling appointments with external guests and officials, and interviews as necessary.
Organizes management travel and prepares expense reports
Participates in planning of divisional and team level activities and events (e.g. company meeting, cluster/division meeting, team building, Lunch & Learn)
Provides orientation and guidance to new comers
Safety reporting compliance
- Ensure 100% of safety reports received are forwarded to Drug Safety Department within one business day of receipt
Operation Excellence & Projects
Be a champion for company’s operational & administrative processes and be a change agent to promote continuous improvement culture in the organization
Proactively streamlines and improve operational processes across the organization
Works on complex projects as an individual contributor or cross functionally. Such assignments require professional judgment and initiative in resolving problems and making recommendations.
Provides support on editing and formatting meeting documents, materials and/or presentations, gathering information or conducting analyses to support the Division Head(s) and other team members.
Contracts and Purchase Order Management
Manages E2E contractual lifecycle, including review, creation and documentation of contracts in respective systems
Monitors the approval and signatures of contractual parties as well as the compliant archiving and contract related documents aligned with company SOP
Safeguard and manage GM chop and Company Chop, when appropriate approval is in place
Create purchase orders and executes on payment process after the contract process is completed
Ad hoc duties as assigned.
Job Requirement
Qualifications and Experience: At least 5 years’ working experience in multinational companies as secretary/executive assistant Education: Bachelor degree or above Skills & Knowledge:
Fluency in written and spoken English
Strong computer skills (e.g. g Mail, g Drive, Microsoft Office, Internet, etc.)
Good communication / interpersonal skills
Demonstrate effective time management and organizational skills
