The Coordinator for the Contingent Worker Management team is responsible for managing the administrative processes related to contingent workers, including invoice processing, documentation compliance, timekeeping, and onboarding/offboarding. The role requires ensuring accurate processing of contractor invoices, maintaining compliance with UK IR35 regulations, and administering timekeeping systems like Clockify. Additionally, the Coordinator will design and implement onboarding and offboarding processes, and work closely with an MSP to ensure seamless integration of these processes. The role demands a proactive approach to process improvement and effective communication with various stakeholders to resolve discrepancies and ensure smooth operations.

KEY RESPONSIBILITIES Processing of contingent worker invoices
Give thought to how we could improve the processing of invoices (including possible time-based enhancements)
Form an understanding how invoices will be processed through an MSP offering
Raise Contractor Purchase Orders on Navision
Review Contractor invoice & timesheets against open Purchase Orders.
Amend Contractor Purchase Orders to close or extend.
Be the key point of contact and remedy for differences between approved and invoiced time.
Be the key point of contact and remedy for PO insufficiencies or challenges.
Documentation and compliance
Plan and conduct an audit of the existing population of contingent workers compliance documentation
Prepare UK IR35 determinations for all existing contingent workers
Perform and document IR35 determinations for all contingent workers
Form an understanding of how documentation is processed and retained by an MSP
Issue Contractor packs for signature.
Ensure appropriate filing of all contractor packs
Clockify Timekeeping
Develop an understanding of how Clockify works, and how to create correct relationships within Clockify
Form an understanding of how timekeeping works through an MSP
Create and set up new accounts within Clockify
Administrate the use of Clockify
Download reports from Clockify for checking against received invoices
Onboarding/Offboarding Contingent Workforce
Through interaction with L&D, design a new onboarding and offboarding process for contingent workers
Form an understanding of an onboarding and offboarding process for contingent workers through an MSP
Ensure that the critical elements of our onboarding and offboarding process are covered in a process to be administered by an MSP
Implement the process for all new joiners and leavers
Make iterative improvements to the process through feedback obtained.
QUALIFICATIONS, SKILLS AND EXPERIENCE
Experience in processing invoices, purchase orders, and timesheets, particularly within contingent workforce management.
Knowledge of UK IR35 regulations and experience in conducting IR35 determinations.
Proficiency in timekeeping systems, especially Clockify, with the ability to set up and administer accounts.
Familiarity with Navision or similar ERP systems for managing purchase orders and payments.
Experience in designing and implementing onboarding and offboarding processes.
Strong organizational skills with a focus on maintaining compliance documentation and audit preparation.
Excellent communication skills for liaising with contractors, agencies, and internal teams.
