Liaison Staff

Key Responsibilities:
Communication and Coordination:
  • Serve as a primary point of contact between different departments, teams, or external parties.
  • Facilitate communication by relaying messages, instructions, and information accurately and promptly.
Document Handling:
  • Retrieve and deliver various documents, including Statements of Account (SOA), contracts, reports, and other paperwork.
  • Ensure the safe and secure transport of sensitive documents, maintaining confidentiality as required.
External Interactions:
  • Engage with external stakeholders such as clients, suppliers, government agencies, and service providers on behalf of the organization.
  • Represent the organization professionally in meetings, forums, or events as needed.
Travel Coordination:
  • Arrange and coordinate travel logistics for team members, including booking accommodations, transportation, and scheduling appointments.
  • Ensure all travel arrangements adhere to organizational policies and budget guidelines.
Community and Public Relations:
  • Build and maintain positive relationships with the community, clients, vendors, and other external contacts.
  • Attend community meetings, events, or functions to gather feedback and promote organizational initiatives.
Project Support and Administration:
  • Assist in the coordination and implementation of projects, including scheduling meetings, preparing agendas, and documenting meeting minutes.
  • Provide administrative support such as drafting correspondence, preparing presentations, and organizing files.
Problem-Solving and Conflict Resolution:
  • Address issues or concerns that arise during interactions with stakeholders, seeking resolution in a diplomatic and efficient manner.
  • Mediate discussions and negotiations to achieve mutually beneficial outcomes.
Policy Compliance and Reporting:
  • Ensure compliance with organizational policies, procedures, and regulatory requirements related to document handling, travel, and external communications.
  • Prepare regular reports on liaison activities, document deliveries, travel expenses, and other relevant metrics.
Qualifications:
  • High school diploma or equivalent
  • Ability to work independently and as part of a team
  • Excellent verbal and written communication skills
  • Strong interpersonal skills
  • Accuracy in document handling and attention to detail in all aspects of the job.
  • Valid driver's license and willingness to travel is required,
Job Types: Full-time, Permanent
