Job Title: Personal Assistant and Executive Assistant with Xero Bookkeeping Department: Administration Reports To: CEO Summary: The Personal Assistant and Executive Assistant with Xero Bookkeeping is responsible for providing administrative and executive support to the CEO and other senior management. This position requires a highly organized and efficient individual with strong communication and interpersonal skills. The ideal candidate will have experience with Xero bookkeeping and a proven track record of success in a fast-paced environment. Responsibilities: ● Handle Xero bookkeeping tasks, including recording transactions for invoices and expenses, reconciling accounts, and preparing financial reports. ● Monthly time billing report and drafting invoices for approval. ● Manage the CEO's email and correspondence, including organising and filtering emails, drafting letters, and preparing presentations. ● Answers and screens telephone calls for the business. ● Provide executive assistance, including preparing meeting agendas and minutes, taking notes and tracking deadlines and action items. ● Maintain the CEO's files and records, including organising and filing documents. ● Manage the CEO's expenses, including reviewing and approving expense reports, and processing reimbursements. ● Provide administrative support to the CEO and other senior management, including scheduling appointments, managing calendars, and arranging travel bookings. ● Stay up-to-date on the latest administrative and executive assistant tools and technologies. ● Aid in the enhancement and development of workplace procedures. Qualifications / Knowledge: ● 2+ years of experience with Xero bookkeeping. ● 3+ years of experience as a personal assistant or executive assistant. ● Bachelor's degree in business administration, or a related field. ● Proficiency in Microsoft Office Suite and Google Workspace. ● Proficiency in CRM software, Gmail, Click Up or similar programs.
