Regularly monitors the inventory levels of all products assigned to incumbent (of the Supply Chain Department) and secures price quotes from accredited suppliers abroad. Issue purchase orders & secure necessary Management approvals. Coordinate with Shipping/Customs Clearance Staff the arrival of each container and ensure timely departure and payment. Essential Functions :
Three times a week, updates the inventory levels of all SKUs assigned to the incumbent and recommend the quantities needed to be ordered, consistent to agreed guidelines.
After determining the quantities for replenishment, request current supplier/s to submit their new prices given the target shipment period. Always compare new and previous quotations and understand why there are any changes.
Present at least two (2) quotations for every requirement, plus, comparison vs latest purchase if applicable.
Negotiate best prices and payment terms, given target delivery dates and order quantity.
If possible, avoid any price increases and target price reduction for future orders, especially for bigger order quantities.
Prepare purchase orders and send copies to suppliers.
Ensure timely delivery of correct ordered items.
Coordinate shipment with Shipping/Customs Clearance Team of Supply Chain Department.
Keep proper documentation of all quotations and ensure clear commercial terms (order lead time, warranty, if any, return policy, after sales servicing, payment terms, others).
Respond to supplier inquiries about order status, changes, or cancellations.
Contact suppliers in order to schedule or expedite deliveries and to resolve shortages, missed or late deliveries, and other problems.
Ensure accuracy and completeness of suppliers information.
With Supply Chain Manager, develop list of preferred suppliers based on actual performance.
Buyer will also be assigned to source new items and develop packaging. KEY
Qualifications:
Graduate of Bachelor's degree preferably Industrial Engineering
At least 1 year in procurement and/or planning function preferably in a trading/retail industry
Demonstrated knowledge and/or experience including, but not limited to the following: (1) Knowledge of plumbing/home finishing products & manufacturing, advantage but NOT a must. (2) Inventory planning. (3) Negotiation skills: ability to negotiate and persuade favorable terms with key vendors/suppliers (4) Knowledge of general computer applications (Microsoft Word, Powerpoint, Excel, Outlook). (5) Communication Skills: Excellent verbal and written communication skills; ability to communicate with all levels in the organization in an articulate and professional manner. (6) Analytical and organizational skills, as well as attention to detail and time management skills
Must be proactive and a good planner.
