ADMIN & FACILITIES COORDINATOR

Job Summary:
The Administrative and Facilities Coordinator at Helberg Lifestyle Medical Center and Clinic is responsible for overseeing the smooth operation of key administrative and facility-related functions. This includes processing permits and legal documents, managing housekeeping and facility maintenance, and handling HMO accreditation for doctors.
Duties and Responsibilities:
  • Document Processing and Permit Management:
  • Coordinate and process required permits and licenses for the facility in compliance with local and national regulations.
  • Ensure timely submission and renewal of all permits related to operations, health, safety, and environmental requirements.
  • Maintain an organized system for storing and retrieving permits and other legal documents.
  • Keep files for documentation of all departments up to date.
  • Register company properties.
  • Assist in preparing requirements needed for inspections and audits.
  • Facilitate processing of all permits for marketing and company activities.
  • Assist all department heads in keeping and processing documents related to licenses, MOAs, and permits.
  • Handle other tasks assigned by the Management
  • Housekeeping and Maintenance Oversight:
  • Supervise and manage housekeeping staff to ensure cleanliness, sanitation, and proper maintenance of the clinic's facilities.
  • Conduct regular inspections to monitor the cleanliness and condition of all areas.
  • Coordinate repair and maintenance activities, liaising with service providers to resolve issues promptly.
  • Maintain an inventory of housekeeping supplies and ensure timely replenishment.
  • Handle scheduling of facility maintenance, inspections, and other operational activities, ensuring minimal disruption to daily operations.
  • Manage and coordinate the schedules of housekeeping and repair/maintenance staff, ensuring adequate coverage and timely completion of tasks.
  • Ensure cost-effective procurement of materials and services while maintaining quality standards.
  • HMO Accreditation for Doctors:
  • Handle the processing of accreditation and re-accreditation for doctors with various HMOs (Health Maintenance Organizations).
  • Ensure that all necessary documents and certifications are submitted in a timely manner to meet HMO requirements.
  • Maintain a database of HMO accreditations and monitor their expiration dates to ensure continuous coverage.
  • Serve as a point of contact for HMO representatives and manage relationships with various health insurance providers.
  • Coordination and Reporting:
  • Provide regular reports on permit status, maintenance activities, and accreditation updates to management.
  • Communicate with department heads and doctors to ensure their needs regarding facility maintenance and accreditation are met.
  • Develop and implement standard operating procedures (SOPs) for the smooth handling of responsibilities under this role.
QUALIFICATIONS:
  • Preferably Bachelor’s Degree preferably in business, public administration or a related field, but is not required.
  • Good organization, time management, and scheduling skills.
  • Ability to multitask.
  • Experience in clerical or secretarial roles and also in handling administrative tasks in a related field.
  • Professional certification in office management is a plus.
JOB REQUIREMENTS:
  • Excellent in written and verbal communication skills.
  • Experience with office management software like MS Office (e.g. MS Excel, MS Word, etc.)
  • Proven work experience as an Administrative Officer, Administrator or a similar role.
  • Good knowledge of office procedures
  • Is a team player
  • Excellent interpersonal skills
  • Possesses a desirable attitude
  • Pays attention to detail
  • To effectively communicate between hospital/ healthcare department heads and upper management or board of directors
  • Strong organizational and problem-solving skills.
Job Type: Full-time
Pay: From Php10,000.00 per month
