Mō tēnei tūranga | About the Roles

Our Business Services Team is seeking friendly, proactive and customer focused Administrators to join our Team. Our team provides a caring work environment where you can bring your whole self to work.
We offer a progression model within the Business Services team, where you can start in a Reception role, and move into a Team Administrator (TA) role if you have the required skills and abilities and a vacancy arises, and then be considered for promotion to a Senior TA role if you have developed your skills and abilities to a senior level.
We are looking for people who love all things administration, and can demonstrate initiative and commitment. All roles have a level of autonomy, so you'll need to be self-driven, be able to stay calm while managing time-pressured work, work well as part of a team, and have a sense of humour!

wai te mahi nei? | Who are we looking for?

2 Team Administration (TA) roles (1 permanent, 1 fixed term to September 2025):
Our TA roles provide dedicated administration support to managers and teams in their assigned portfolio. Depending on the level of experience and skills you bring to the role, you could be considered for either a TA or Senior TA role. The fixed term role is to backfill our TA who is on secondment to another role within Pharmac.
The TAs work in a fast-paced environment where no two days are the same and involve a range of administration tasks, such as, project support, calendar management, taking notes at meetings, and travel coordination. You will be particularly skilled in organising people and events and trouble-shooting tech issues when setting up meetings. You'll enjoy being the team's go-to person for all things related to administration and Pharmac's systems and processes.
Our ideal candidate will:
  • Be an experienced administrator.
  • Have previous experience in supporting multiple teams and responding to changes in priorities.
  • Have a strong customer service focus with the ability to build and maintain relationships across the business.
  • Have a collaborative style and be a team player.
  • Be highly organised and be a completer/finisher.
  • Be at intermediate level in Microsoft Office applications such as Word, Excel, Power Point, and Outlook and eager to help others leverage technology.

2 Reception roles (permanent):
We have two reception roles available due to internal promotions. This role provides reception services and as first point of contact, you'll be responsible for creating a welcoming experience for visitors, stakeholders and colleagues. You'll also be assigned a variety of administration tasks to work on in-between your reception duties, and need to effectively and efficiently juggle competing priorities with a smile. Our front of house role works onsite on a permanent, full-time basis, Monday to Friday, 8am to 5pm (this means we are not able to offer a working from home option).
Our ideal candidate will be able to:
  • Maintain the reception area, visitor spaces, and common areas, keeping them tidy and inviting throughout the day.
  • Manage incoming and outgoing mail and parcels, coordinate meeting room bookings, ordering of monthly stationery and facilities management.
  • Assist with employee office inductions, manage catering requests, and help with various administrative tasks.
  • Your positive attitude and strong communication skills (written and verbal) allow you to build trusted partnerships within the team and the wider business.
When submitting your application, please indicate which role you wish to be consider for, that is, a permanent Front of House role, or the permanent Senior/Team Administrator or fixed term Senior/Team Administrator role.
