Mō te tūnga | About the role The Central Booking Unit (CBU) is looking for a motivated, enthusiastic Booking Administrator to join our team based at The Cowper Street Hub. CBU co-ordinates the management of Planned Care for both Outpatient and Operating Theatre activity for Health New Zealand West Coast Te Tai o Poutini. This is a 6 Month Fixed Term position, working Monday-Friday 8.30am-5pm. We are looking for someone with a positive can-do attitude, has excellent time management skills is a self-motivator and can work autonomously. A high level of confidentiality is required as well as being able to communicate to a range of different audiences. For further information about the administration and clerical pay equity settlement please follow the link below: Administration and Clerical Pay Equity – Te Whatu Ora - Health New Zealand In this role, you will be responsible for: Being the frontline/ first point of contact team member in the Central Booking Unit – Health New Zealand Te Tai o Poutini. Specifically, the role is responsible for:
Telephone enquiries and managing CBU message lines – promptly and efficiently.
Management of the Central Booking Unit generic email inbox.
Providing daily administrative functions in a timely and accurate manner.
Support the functioning of the Central Booking Unit by undertaking tasks such as referral co-ordination, OPD / IP waitlist co-ordination and patient tūroro bookings in accordance with Ministry of Health Guidelines, and timeliness for patients as required.
Provide the wider CBU Team, with Administrational Support when required.
Maintain A High Level of patient privacy and confidentiality at all times.

Ko wai koe | About You This role would suit someone who is resilient, proactive and takes initiative. Ideally you should have administration and customer service experience. This role is tūroro (patient) facing and therefore we are looking for someone who is able to manage difficult situations and tāngata (people). Level 1-2 NCEA or equivalent (required passes in English and Math)
Good interpersonal and communication skills
Be able to work as part of a Team
Possess high level of initiative
Be able to work under pressure and meet deadlines
Responsibility and Accountability
Ensure patient confidentiality is upheld at all times.
Desirable skills include:
Knowledge of i PM Patient Management Database
Knowledge of Health Connect South
Knowledge and understanding of the Principles and Articles of the Treaty of Waitangi
Business Administration Qualifications Level 3 minimum, or equivalent
Minimum of two years office experience preferably within the health sector
Knowledge of Medical Terminology, a Certificate in Medical Terminology preferable
