Facilities Manager

We are actively hiring x1 Facilities Manager candidate to join the Clearbrook Healthcare Limited team offering excellent pay and conditions. Clearbrook Healthcare Limited is a healthcare company that provides an excellent quality service to the Sisters of Mercy Western Provence religious houses.

Contract: 39 hours per week, Monday to Friday.
Locations within Galway:
Stella Maria, Rosary Lane, Taylors Hill Road, Co. Galway
Saint Vincent's Convent of Mercy, Newtownsmith, Co. Galway.
1 Teaghlach Mhuire, Ballyloughane Road, Renmore, Co. Galway.
Overview of Role
The Facilities Manager is responsible for managing and coordinating support services within Clearbrook Healthcare in the Galway region. The role is responsible for enhancing the hospitality and quality standards, hygiene, and safety within all named locations.
Reports to: Support Service Manager/General Manager
Overall responsibility
· Management of support services of the home to include Catering. Cleaning, Laundry and Maintenance. The position is responsible for ensuring that the home maintains a high standard of cleanliness, hygiene, catering and physical appearance.
· Organisation and oversight of the daily operations of each house. Coordinating & supervising support staff members and leading them by example to ensure the highest quality of service.
· Management of budget and expenditure
· Ensuring the effectiveness of the service provided by conducting audits and meeting key performance indicators.
· To ensure the comfort and safety of residents and the provision of assistance to all residents as needed.
· To maintain an environment that facilitates independence, individuality and dignity.
· To develop and manage the facility in response to identified needs.
· Ordering supplies and services in line with resident requirements and budgets.
· Maintain efficient administrative systems and records as appropriate.
· Deal with correspondence and other clerical and administrative duties as required.
· Line Manager to the Catering. Cleaning, Laundry and Maintenance staff.
· To organise regular staff and multi-disciplinary meetings and develop effective means of communication within the facility.
· Participate in and co-ordinate training programmes for staff if necessary
· Responsible for, or oversight of Drawing up staff rosters and ensuring all staff rosters are in line with business requirements and updated as needed.
· Responsible for submitting fortnightly payroll adjustment sheets to Finance ensuring all payroll information is correct for payroll
· Responsible for arranging staff cover, and approval of staff annual leave.
· Liaise with relevant parties to ensure the needs of residents are catered for and the
requirements of the facility are adhered to.
· Implementation of monitoring and evaluation procedures to determine service effectiveness, particularly seeking users and carers views.
· Provide information, advice and education to staff, users and carers ensuring full access to information to increase decision making in appropriate services.
Catering
· Ensure the consistent delivery of catering to a high standard, this is to include nutritional balance and variety
· Compliance to HAACP and environmental health standards of food preparation
· Ensuring the food service is provided to an excellent standard for all meals: warm, nutritious, presentable and varied; and that the dining experience is enjoyable. Unhurried and pleasant social occasion for sisters.
· Management of Chefs and Kitchen Assistants
· Management of food budgets on monthly basis
· Liaison with approved suppliers
· Conduct feedback surveys from sisters
· Oversee mealtimes and quality of hospitality daily
Cleaning
· Ensure the standards of hygiene and presentation of the home is maintained to an excellent standard, showing the home at its best always
· Management of Managing Supervisors/Housekeeping staff
· Setting the cleaning standards and procedures in accordance with company policy
· Oversight of daily, weekly and monthly cleaning routines
· Ensuring cleaning standards meet organisational, HIQA and EHO requirements
· Managing cleaning supplies budget
· Oversight of Laundry system in each house, and laundry personnel
· Ensure consistent delivery and safe keeping of sisters personal clothing
· Ensure a high standard of home linen, towels and bed covers
Maintenance
Enhance the quality of the home environment through consistent maintenance programme
· Manage the daily task of the maintenance person
· Ensure a preventative maintenance programme is implemented
· Oversight of the daily, weekly and monthly maintenance person tasks
Standards
· Implementation of proper procedures to prevent cross infection
· Adhere to health and safety policy and safeguard the safety and welfare to sisters, staff and others
· Work alongside the Care team to build a strong team
· Participate in selection and recruitment of Catering. Cleaning, Laundry and Maintenance staff
· Liaise with the HR Manager in relation to any performance management or HR issues with staff, and adhere with all HR legislation
· Completion of Catering. Cleaning, Laundry and Maintenance, six monthly of yearly performance appraisals
· Monitoring of complaints in liaising with the Care Manager/General Manager
EDUCATION AND EXPERIENCE REQUIREMENTS:
Diploma or equivalent qualification in facilities management ideally with a minimum of 3 years in a comparable position.
