Job Title: Residential Hostel Secretary (Hostel & mess)
Reporting: Administrator/General Secretary, YWCA of INDIA
Objective: The Hostel Warden shall be responsible for the functioning of the hostel and the mess and should ensure comfortable living experience for the resident students on campus to provide “a home away from home”.
Duties and Responsibilities:
· Responsible for all work connected with the Hostel, Guest Rooms including keeping track of availability of rooms, allotment of rooms and collection of charges as directed by the Advisory Committee/ Board of Management.
· Make arrangements to provide decent meals in sufficient quantity as per menu and to ensure that this is done by being present in the dining hall at meals times.
· The Warden shall maintain the attendance register, IN and Out log book and take attendance on a daily basis.
· Arrange for the purchase of all provision including vegetables, fish, meat, eggs etc. and to ensure that good quality and correct quantity are supplied.
· Maintain accounts of fees collected each day and ensure that the money is deposited in the bank and handover the account to the Secretary accounts on a daily basis.
· See to the proper upkeep and cleanliness of kitchen, dining hall, rooms, bathrooms and verandas. She should maintain a stock
· The Warden shall be responsible for the health, hygiene and general welfare of the students residing in the halls of residence which are specifically assigned to him/her and shall attend to all matters of health, sickness, diet, sanitation and cleanliness. See that proper medical aid is given.
· Checking the rooms and condition of furniture and fitting when a resident is allotted a room and when she vacates the room.
· Maintenance of inventory of all utensils, crockery, equipment in the kitchen and furniture and fittings in hostel and retirement home.
· The date of interview for admission to the hostel is to be fixed by the hostel secretary in consultation with the Administrator and inform all concerned.
· Check the incoming and outgoing registers in the morning and evening, initial it and report to the Administrator if there is anything to be reported.
· Keep the Administrator informed on a day to day basis on the functioning of hostel and residents.
· Set all minor repairs of electric and water connections done in the building ensuring the safety and privacy of the inmates. All major repairs to be undertaken only after consulting with the Advisory Committee/Board of Management through the Administrator.
· Issue of all notices and announcements connected with the functioning of the Hostel in consultation with the Administrator.
· The warden shall also ensure that the residents observe the rules framed for their guidance and maintenance of decorum.
· Complete necessary administrative tasks such as report writing, surveys, filing incidents, documentation and record keeping with respect to Residence Halls. Maintaining accurate records and writing reports to help to identify trends that may require action.
· Attend hostel and religious meetings.
· Shall be in charge of all religious programmes of the hostel.
· In charge of garden maintenance.
· Promote a collegiate environment, good order and social harmony in the hostel.
· Making arrangements for provision of tea/snacks at the meeting of the Board of Management, Committee meetings etc and also to the Office bearers when they come on business. Also special lunches and dinners as directed by the Administrator.
· In addition to the above, any work assigned by the Advisory Committee/Local Board of Management from time to time, for the proper functioning of the Hostel and its activities.
· The Warden will have to take active participation in the programmes and projects of the Association as per the instruction of the Advisory Committee/ Board of Management
· To lead by example. Wardens will not violate the honour code of The YWCA Guwahati and will enforce and abide by the Association’s ethos, policies and regulations and also national, state and city laws.
Days of Work :This is a full-time role working all days of the week. The wardens follow a special approved leave cycle made in consultation and coordination of the team. For any leave of absence from work, the Warden will have to notify and take a prior approval from the Administrator, YWCA of Guwahati.
Job Type: Full-time
Pay: ₹13,000.00 - ₹20,000.00 per month
