Reporting to

Purpose CEEW seeks to hire a Program Assistant, to ensure day-to-day smooth functioning of the different program. The incumbent will provide support services to the program staff members and external stakeholders. Will help in managing their day-to-day travel plans and liaison with other travel partners and team members to ensure all queries related to summary, Bills and documentation from finance is fulfilled. In addition to the duties and responsibilities below, the individual should be prepared, as and when necessary, to take on additional responsibilities. Responsibilities
Travel Management for Programme team.
Planning travel accommodations, booking flights, hotels, Car rentals and other coordinating activities, including Forex for the CEEW programme team.
Managing and processing all travel-related documents, including requisition forms, approvals, payments, credits, itineraries, visas, and medical &; legal forms. This includes the submission of required documents to Finance for further processing.
Managing the overall travel process from end to end in adherence to the organisational policies and SOP’s.
Assisting and handling any travel-related issues that may arise even on weekends.
Creating, optimising and monitoring corporate travel policies; preparing travel budgets; analysing and preparing reports on travel spending (MIS reports)
Assisting program staff in planning and executing logistical operations, including planning their travel.
Handling all inbound and outbound Logistics and transportation processes.
Managing relationships with travel partners and vendors.
Negotiate contracts or rates with travel service providers and get the better deal from travel agents.
Ensure compliance with all applicable travel policies and procedures, including SOPs.
Drive continuous improvement of travel programs
Efficiently manage and coordinate the executive's calendar, ensuring timely scheduling of appointments, meetings, and events.
Prioritize and reschedule appointments as needed to optimize time management.
Other responsibilities
Submit summary of travel booking along with invoice
Reconciliation with the vendors on regular interval
File Reimbursements for any expenses happened during travel for leads.
Selection Criteria Qualification
Graduate, good oral and written communication skills and computer skills
Minimum of 2 years' experience in micro-business administration.
High degree of creativity and ability to work within deadlines.
Work experience
4-6 years’ experience.
Ability to work in an intense, high pressure environment.
