Back Office Executive

The Back Office Executive plays a key role in providing administrative and operational support to various departments within the organization. The role primarily involves handling data entry, documentation, record-keeping, and assisting in the smooth functioning of day-to-day office tasks. The Back Office Executive works behind the scenes to ensure that operations run smoothly and efficiently.
Key Responsibilities:
  • Data Entry & Documentation:
  • Input, update, and maintain accurate data in company systems and databases.
  • Organize and manage files, records, and other documents for easy retrieval.
  • Prepare and generate reports, spreadsheets, and presentations as needed.
  • Administrative Support:
  • Assist in handling phone calls, emails, and correspondence related to the department.
  • Help organize and schedule meetings, appointments, and other events.
  • Provide support in managing office inventory and supplies, ensuring that necessary items are available.
  • Records & File Management:
  • Maintain an organized filing system for all documents, both physical and digital.
  • Ensure that records and files are easily accessible and secure.
  • Assist in preparing and storing confidential documents in compliance with company policies.
  • Operational Support:
  • Coordinate with various departments to support smooth office operations.
  • Process invoices, bills, and other financial documents, ensuring accuracy and timely submission.
  • Assist in managing procurement processes and maintaining records of purchases and expenses.
  • Research & Reporting:
  • Conduct research to support the needs of various departments, such as collecting data or sourcing information.
  • Prepare reports on a regular basis for management review and decision-making.
  • Collaborate with team members to identify areas of improvement in operations and processes.
  • Customer & Vendor Communication:
  • Communicate with external vendors, suppliers, and customers via phone, email, or written correspondence.
  • Follow up on pending orders, deliveries, or any discrepancies in documentation.
  • Handle customer and vendor inquiries and escalate them to relevant departments when necessary.
  • System Maintenance:
  • Update and maintain company databases and software systems to ensure accurate information is available for other departments.
  • Perform troubleshooting and assist in resolving any software or system-related issues in coordination with the IT department.
  • Compliance & Policy Adherence:
  • Ensure that all back-office processes comply with the company’s policies, procedures, and industry standards.
  • Assist in ensuring that necessary audits are conducted for internal compliance.
  • Other Duties:
  • Provide support in other administrative and operational tasks as assigned by supervisors or management.
  • Assist in special projects, events, or initiatives as needed.
Key Skills & Competencies:
  • Strong attention to detail and accuracy.
  • Excellent organizational and time management skills.
  • Ability to handle sensitive and confidential information with discretion.
  • Proficiency in Microsoft Office Suite (Excel, Word, Power Point) and familiarity with office software.
  • Good communication and interpersonal skills.
  • Problem-solving skills and ability to work independently.
  • Strong multitasking abilities with an ability to prioritize tasks effectively.
Qualifications:
  • High school diploma or equivalent; a bachelor's degree in business administration or a related field is preferred.
  • Previous experience in a back-office or administrative role is preferred.
  • Familiarity with office systems, databases, and software is an advantage.
Work Environment:
  • Office-based role with limited direct interaction with clients.
  • Requires extended periods of working on a computer and handling office equipment.
