Summary
In charge of maintaining the overall flow of workplace operations. Handling the recordkeeping of office supplies, statistical employee needs, invoices, receipts, and administrative documents. Grating visitors and answering phone calls. Ordering office supplies for different branches. Providing support to managers and employees to fulfill daily office needs. Coordinating and maintaining office procedures. Operating maintenance and repairment to office equipment. Assisting the preparation of regularly scheduled reports. Submit and reconcile expense reports. Handling requests and queries from senior managers. And other additional tasks as assigned.
Scope and Impact of Job
Budget and/or revenue Responsibilities
Budget Planning and Forecasting: participate in the annual budget planning process, assisting in the forecasting of operational expenses and revenue.
Expense Management: Monitoring daily expenses against the budget is crucial. The Administrator should ensure that all expenditures are within the allocated budget
Cost Reduction Initiatives: Identifying opportunities for cost savings without compromising operational efficiency is a key responsibility. This might include negotiating better rates with suppliers, finding more cost-effective solutions for office operations, and reducing unnecessary expenditures.
Required Knowledge and Experience
Related Work Experience
- Experience in administrative assistant works.- Experience in customer service where provide support to others.- Experience in workplace that requires high level of collaboration with team member.
Formal Education or Equivalent
- Bachelor’s degree
Skills
- Fluent written and oral communication skills in English and Mandarin.
- Excellent PC skills.
- Great team player and interpersonal skills.
- Good time management and the ability to prioritize work.
- Knowledge of office management systems and procedures.
- Strong organizational skills with the ability to multi-task.
- Ability to meet deadlines and efficiently accomplish delegated tasks.
- Attention to details and problem solving.
Primary Responsibilities
- Keeping records and purchasing office and warehouse supplies (compare quality and price on different platforms).
- Managing office inventory, checking stocks, and ordering lunch.
- Organizing administrative documents.
- Submit and reconcile expense reports and invoices.
- Repairing and schedule maintenance to office equipment.
- Assisting managers with documenting and other assigned works.
- File updates.
- Assisting the preparation of regularly scheduled reports from all branches.
- Marketing researching and acquiring quotations.
- Greeting visitors and taking phone calls.
- Tasks assigned by managers.
- General office inquiries.
- Taking record of statistics on colleagues.
- Answering questions.
- Helping with daily office operation.
- Selection of products to purchase.
- Prioritizing workflow.
Job Types: Full-time, Permanent
Pay: $36,500.00-$42,000.00 per year
