Property Management Administrator

Job Summary
The Property Management Administrator plays a vital role in ensuring the smooth operation of property management activities. This position involves a combination of administrative tasks, customer service, and data management to support property managers and enhance tenant satisfaction. The ideal candidate will possess strong organizational skills and a customer-centric approach, contributing to the overall success of the property management team. This position is located in Regina.

Duties
  • Answering incoming calls in a positive and professional manner
  • Processing payments and deposits
  • Setting up new tenants, owners, and properties.
  • Maintain Smoke detector/fire safety list
  • Processing bills and owner payments and statements
  • Bank reconciliations, and monthly reporting for condominiums
  • Residential financial statements.
  • Facilitate the creation and submission of notices, leases, claims or other rental/condominium documents.
  • Manage vacancies and report to Owners as needed.
  • Manage tenants and properties that experience late or missing rent.
  • Advertise vacancies on Buildium, JML's Website, Facebook, and other platforms as required.
  • Responsible for Buildium always being current with owner and tenants contact and lease information.
  • Address tenant and owner concerns and maintenance requests in a timely manner
  • Work with maintenance team to schedule service and repairs
  • Review and process new tenant applications.
  • Possibility of showings/leasing properties if leasing agent is unavailable.
  • Prepare leases for new and existing tenants, ensuring compliance with regulations and timely filing of all documents in company database.
  • Monitor all expiring leases contact tents before lease expiration to determine renewal status.
  • Assist with administrative duties for other centers with any other task as required.
  • Meeting minutes and financials statements for condo boards (occasional evening work)
  • Possibility of meeting contractors on site.
  • Arrange and organize contractors
  • Accounting knowledge preferred
  • This role is essential for maintaining high standards of property management while ensuring tenant satisfaction through effective communication and administrative support.
Job Type: Part-time
Pay: $18.00-$22.00 per hour
Expected hours: 30 – 35 per week
