Northland Properties' Construction & Design Team is seeking a Project Procurement Coordinator to support our expanding Hotel, Restaurant and Resorts brands.

As a Procurement Project Coordinator, you'll be an integral part of our Design & Construction Team, reporting directly to the Procurement and Supply Chain Manager. You will be responsible for managing and monitoring the full cycle of renovation projects, ensuring that all targets are met and assisting in the development of the construction project plan, budget, and schedule. Your key duties will include:
- Facilitate effective communication between the office and individual jobsites to ensure timely and budget-compliant delivery of materials.
- Ensure a minimum of three competitive quotes are obtained for material purchases and subcontract agreements.
- Monitor and update the Request for Quotation list for each project on a weekly basis, adhering to delivery timelines for successful project completion.
- Conduct firm and effective negotiations with vendors and subcontractors before issuing purchase orders or contracts to secure optimal terms.
- Coordinate and negotiate the issuance of all contracts and purchase orders to vendors and sub-contractors.
- Handle negotiations for change orders and additional work with vendors and sub-contractors.
- Solicit and compare bids from vendors and sub-contractors to ensure cost compliance and accuracy before contract or purchase order release.
- Verify that invoices align with the agreed pricing and scope of work outlined in contracts or purchase orders.
- Collaborate with the jobsite to schedule on-site meetings with vendors and sub-contractors.
- Perform material takeoffs to ensure the accuracy of orders and prevent discrepancies.
- Attend and lead weekly project status meetings.
- Communicate job status comprehensively, including updates on material delays, schedule changes, and change orders, with the Site Superintendent, Regional Manager, and Procurement Manager and Coordinator.
- Follow up on-site problems with the Site Superintendent, Regional Manager, and Procurement Manager and Coordinator to ensure timely and appropriate resolution.
- Coordinate with design, architectural, and mechanical teams to ensure timely and accurate specification and ordering of the correct items.
- Perform regular updates of project job folders to maintain up-to-date, accurate, and relevant information.
- Monitor, track, and approve invoices from vendors and subcontractors.
- Review and approve shop drawings as required.
- Manage day-to-day office and jobsite administration tasks.
- Support the growth and development of company culture and professionally represent Northland Properties.
- Performs other duties as required.
What are we looking for?
- 2-5 years of related work experience in construction or a combination of work experience and relevant education (post-secondary degree or diploma in Engineering, Architecture, Building Technology, or Construction Management) will be a strong asset.
- Experience in price negotiation will be an asset.
- High-level organizational and time management skills.
- Strong verbal and written communication skills.
- Good working knowledge of MS Office, especially Microsoft Outlook, One Drive, Share Point, Teams, Excel, and Word.
- Great interpersonal skills for effective collaboration with cross-functional teams.
- Detail-oriented, versatile, and flexible, with excellent creative and problem-solving abilities.
- Demonstrates a positive attitude, with good initiative and a strong work ethic.
