Position Overview
As Procurement & Logistics Specialist, working alongside the Manager of Procurement & Logistics, you are responsible for the strategic sourcing and purchasing of materials and services. This role is also responsible for inventory management ensuring we have optimal inventory levels. Furthermore, you will oversee the day-to-day operations of our busy Shipping & Receiving Team, with a strong focus on coordinating the receiving of ordered goods at our facility’s primary and secondary warehouses, and ensuring items requisitioned internally from all departments are distributed from warehouses to their intended destinations.

Core Competencies:
Procurement & Inventory Control
  • Train, manage, and schedule shipping and receiving assistants.
  • Create, plan and lead the procurement process for multi-disciplinary procurement projects. Involves maintaining required inventory for multiple departments including but not limited to, housekeeping and administration.
  • Place and monitor purchase orders to meet required inventory, delivery deadlines, and budgetary confinement.
  • Issue orders to departments as needed while ensuring accurate home cost centre is recorded for finance.
  • Work closely with project managers updating team with order request and tracking information.
  • Maintain and file supporting documentation for purchase orders in a clear and concise fashion.
  • Help to determine and document desired inventory levels.
  • Request and interpret pricing quotes from various sources and suppliers.
  • Resolve routine delivery, quality or other related problems with purchases and invoices.
  • Monitor the quality, lead time and level of customer service provided by each supplier.
  • Arrange necessary project resources to ensure timely project completion.
  • Interact with guests when required & any related operational team members.
Relationship Builder
  • Develop and maintain close and effective working relationships with vendors and all supporting departments, particularly with Maintenance, Housekeeping, and Food and Beverage.

Administration
  • Utilize inventory management software to manage and track supplies and par level needs of the resort.
  • Utilize Asana to track, update, and monitor hotel maintenance issues including glitches.
  • Assist with the shipping and tracking of any hotel guest lost & found items in coordination with the Housekeeping department.
  • Field incoming calls / emails from affiliated vendors, team members, and guests.

Preferred qualifications and skills:
• A bachelor’s degree or diploma with 2+ years’ experience in procurement, supply chain management.
  • Demonstrated ability to negotiate and deliver cost savings.
  • Knowledge of inventory management.
  • Ability to work collaboratively across departments.

Requirements of the role you should be aware of:
  • Based on the nature of our business and the service we provide to our guests, to work with us, you must consent to a criminal background check as a condition of employment and an additional criminal background check every two years.
  • As a seasonal resort business, you can anticipate a schedule that will involve day, evening, night, and weekend work.
  • Able to work long hours, be flexible and work well under pressure.
  • Ability to spend long hours moving around, walking, sitting, standing.
  • Ascending or descending stairs and ramps.
  • Occasional kneeling, pushing, pulling, lifting.
  • Exerting up to 50 pounds of force occasionally, and/or up-to 25 pounds of force frequently or constantly lift, carry, push, or otherwise move objects.
