Executive Assistant - Construction & Property Management

Position Overview: Get in on the ground floor of a Rapidly growing group of companies focused on Real Estate Investing, Construction services and Property management. We are seeking a proactive and highly organized Executive Assistant to provide critical administrative support to our Construction and Property Management team. The ideal candidate will excel in multitasking, have strong communication skills, and be able to efficiently manage both day-to-day operations and special projects. This role will serve as a key liaison between our team, vendors, subcontractors, and tenants. The role will start as part-time with the opportunity to transition to full-time.
Key Responsibilities:
  • Provide administrative support to the construction and property management team, ensuring smooth daily operations.
  • Serve as a point of contact for vendors, subcontractors, and various construction service providers.
  • Prepare and manage essential documents, including change leases, orders, purchase orders (POs), service agreements, and subcontracts.
  • Perform general office duties such as setting up filing systems, data entry, typing, copying, and ordering office supplies.
  • Assist in coordinating property management maintenance schedules, ensuring timely and effective service.
  • Support the leadership team, property managers, and building operations staff with tasks such as preparation and monitoring of POs, vendor communication, and accounts receivable support.
  • Liaise with tenants regarding operational matters, ensuring positive and professional customer relations.
Qualifications:
  • Proven experience in an administrative role, preferably in construction or property management.
  • Excellent organizational and multitasking abilities.
  • Strong written and verbal communication skills.
  • Proficiency in Google Suite an asset.
  • Ability to handle sensitive information with discretion and maintain a high level of confidentiality.
  • Strong problem-solving skills and ability to work independently or as part of a team.
