What this opportunity involves:
As the Facilities Coordinator within the Emergency Management Team , you’ll support the broader Facilities and Operations team in the oversight of training, data updates as well as regulating important admin tools. Working closely with the Emergency Management Manager and Vendor Manager, you’ll play a critical role in ensuring the safety and compliance of our onsite teams.
An Overview of the role:
Work closely with the Emergency Management Manager and Vendor Manager
Make general inquiries of the vendor on behalf of the Emergency Management Team and Client
Assist with conducting and recording minutes of the Monthly Vendor Management Meeting and fortnightly Client meetings
Review and upload Vendor Monthly Performance Reports to the Client Portal
Assist the Emergency Management Manager with planning upcoming schedule or training changes, milk-runs, and site documentation upgrades
Assist the Emergency Management Manager with ad-hoc discussions and reporting as requested by the Client
Respond to site-based general inquiries on Training operations and diagrams
Create initial reactive requests and work orders to address issues raised by the Vendor and Client
Verify the contents of documents uploaded to the Corrigo portal
Create financial proposals and verify invoice data
Create regular schedules for training programs
Update schedule information in Corrigo

Can-do attitude with proven ability to build and maintain relationships
Strategic thinker who can deal with ambiguity and solve complex problems effectively
Proficient in all Microsoft platforms
Ability to adapt quickly to changing environments
Knowledge of local occupational health and safety requirements, or willingness to learn
Strong communication skills, written and verbal
Strong budget management and financial analysis skills
