Who we are
The Australian Antarctic Division (AAD) is part of the Commonwealth Department of Climate Change, Energy, the Environment and Water. As primary agency for Australia's Antarctic Program (AAP), the AAD is responsible for achieving the Australian Government's Antarctic goals.
These goals are to:
  • maintain the Antarctic Treaty System and enhance Australia's influence within it
  • protect the Antarctic environment
  • understand the role of Antarctica in the global climate system
  • undertake scientific work of practical, economic and national significance.
The AAD also has responsibility for administering the Australian Antarctic Territory and the Territory of Heard Island and Mc Donald Islands.

The Antarctic Operations Branch plans, coordinates, facilitates and delivers operations for the Australian Antarctic Program by safely resupplying and sustaining the Antarctic Stations and building operational capacity to deliver future Antarctic projects.

The Supply Chain Operations Section is a key element of the branch’s three logistics arms (the others being aviation and shipping) and carries responsibility for the effective planning, coordination, management and delivery of a range of cargo and supply chain services in support of seasonal operations within the Antarctic, sub-Antarctic and the Southern Ocean.

The Job
The Cargo Planning Team Lead is a critical role within the AAD’s Supply Chain Operations, working to forecast and facilitate cargo in support of the Australian Antarctic Program (AAP). The position engages regularly with a wide range of internal and external stakeholders in the lead-up to and throughout the operational season.

Key duties will include, but are not limited to:
  • Engaging proactively with internal and external stakeholders to develop, review and maintain seasonal cargo forecasts against evolving needs and within time constraints.
  • Lead the planning team effectively, maintaining succinct cargo planning documentation and seasonal communications, delegating tasks between team members and providing guidance.
  • Working collaboratively and strategically with the Kingston warehouse and Cargo Biosecurity Centre teams to coordinate consignments against finalised cargo plans for each transport.
  • Providing clear, specific guidance on sensitive cargo (i.e. samples, medical or cold chain items) against forecast capacities and in accordance with procedures.
  • Assisting Station Supply Officers to develop Return to Australia (RTA) cargo forecasts and with essential preparations for resupply.
  • Participating in the systematic annual review of the AAD’s cargo-related Standard Operating Procedures and biosecurity management practices.
  • Preparing and confidently delivering supply chain management training for Station Supply Officers and other AAD personnel.
  • Actively contributing own expertise to the safe working environments at all AAD cargo handling and warehousing facilities, fostering this within the team.
  • Advising on risks related to the provision of core Supply Chain Operations services, opportunities for improvements and asset developments potentially impacting supply chain management, considering ramifications and longer-term impacts.
What we are looking for
Knowledge and experience
  • Demonstrated experience and expertise in cargo or resource management and planning, including preparing forecasts and program requirements within known constraints and with a high degree of attention to detail.
  • Experience in driving innovative practices through the development and delivery of operational products and services, effectively utilising individual and team capabilities.
  • Strong experience in a professional supply chain team, including demonstrated experience in the effective management of personnel, valuing differences and diversity, supporting a harmonious work environment and providing regular, constructive feedback to reports.
  • Familiarity working with data within cargo tracking/management systems.
  • An awareness of the requirements for the preparation of dangerous goods for transport by air and/or sea in compliance with relevant Australian and International standards (e.g. the IMDG code).
Please note that previous experience working in a supply chain support role in Antarctica or a comparable cold climate environment is desirable but not essential.

Skills and capabilities
  • A proven ability to communicate in a concise, articulate and persuasive manner, and to build and sustain strong working relationships, with a wide range of key stakeholders.
  • Demonstrated ability to undertake objective, systematic analysis to identify problems and work to resolve them, to critically evaluate options, including identifying and assessing risks.
  • Established proficiency with contemporary cargo handling or warehouse systems and a demonstrated teaching capacity throughout a wider organisation for these systems.
  • A proven capability to lead, mentor and train small teams.
  • Proficiency with the Microsoft Office suite (e.g. Word, Excel).
Desirable qualifications
A tertiary qualification from an Australian tertiary institution within a relevant field (i.e. supply chain or project management) or demonstrated equivalent experience.

Eligibility and other requirements
Citizenship - To be eligible for employment with the Department of Climate Change, Energy, the Environment and Water you must be an Australian citizen.

Security Clearance - This position requires a Baseline Vetting security clearance. You will be required to obtain and maintain a clearance at this level.
