Max Car Care is seeking a highly organized, well-presented, and motivated Car Yard Assistant and Office Administrator to oversee daily operations and ensure the smooth management of both our car yard and office. This dual role involves coordinating car detailing activities, maintaining the yard’s presentation, and handling administrative tasks to support our team in delivering top-tier services to our clients.
Key Responsibilities:
Car Yard Assistant:

• Oversee day-to-day operations of the car yard, ensuring all vehicles are organized, cleaned, and presented to a high standard.
• Coordinate with the detailing team to schedule and prioritize vehicle cleaning and detailing based on customer requirements.
• Conduct quality checks on all detailed vehicles to ensure standards are met before customer handover.
• Monitor and maintain the safety and cleanliness of the car yard.
• Manage stock and supplies for detailing, ensuring all tools, equipment, and cleaning materials are available and in good condition.
• Address any operational issues in the yard, including maintenance of equipment and safety concerns.
• Liaise with customers for vehicle inspections and manage any additional service requests.

Office Administration:

• Provide administrative support, including data entry, scheduling appointments, and managing email inquiries.
• Maintain accurate records of work orders, customer details, and invoicing.
• Manage office inventory, including supplies, forms, and administrative equipment.
• Assist in the preparation of quotes, invoices, and customer follow-ups.
• Handle customer service inquiries, resolve issues, and ensure a positive customer experience.
• Maintain digital platforms and assist with social media updates as required.

Requirements:

• Prior experience in a supervisory role, preferably in the automotive or car detailing industry.
• Strong organizational and multitasking skills.
• Excellent communication and interpersonal skills.
• Basic knowledge of office administration and computer proficiency (MS Office, scheduling tools).
• Valid driver’s license (mandatory).
• Well-presented and professional demeanor.
• Ability to work independently and lead a team.

Desirable Skills:

• Experience with car detailing or vehicle maintenance.
• Knowledge of WHS (Workplace Health and Safety) standards and practices.
• Experience in customer service or sales is a plus.
