Job Title: Trust Operations Associate Department: Trust Department / Operations Group Reports To: Supervisor – Operations Group SUMMARY As a member of the Operations Group of the Trust Department, the Trust Operations Associate will be involved in processing funds transfers and remittances, recording those on the trust accounting system, reconciling the accounting system with sub-custodial records, producing, reviewing and assembling client statements and performing similar functions related to the maintenance of fiduciary records. ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
Processes client cash receipt and disbursement transactions, including check requests, either using subcustodian’s electronic platform or administering the issuance of written instructions.
Processes capital contribution/distribution transactions on the subcustodian’s system by utilizing the Auto Loader process, and on the trust accounting system by using the STP Link process.
Inputs transactions into the trust accounting system, either manually through volume processing, the latter of which is accomplished by uploading dashboard STP links, or processing transactions through the Qforms process.
Produces daily reports used by the Accounting and Trust Administrative departments.
Processes functions on the trust accounting database at the Account or Security level, either manually or though Qforms request, including setting up new securities for equities, bonds and non-marketable assets.
Processes monthly and quarterly pricing, either manually or through dashboard STP links.
Reconciles accounts in the accounting system against the sub-custodian records on a monthly or quarterly basis; reconciles accounts in the accounting system against broker statements on a monthly basis.
Periodically runs a program that reconciles the positions on the subcustodian’s records against the records in the trust accounting system, and informs the Trust Administration department of any discrepancies between the two systems.
Maintains the records of the Client Funds Account on the Quick Books database.
Prints, collates and assembles both physical and electronic client account statements.

EDUCATION AND EXPERIENCE Associates degree and three years of related experience and/or training, or an equivalent combination of education and experience. SPECIAL SKILLS Demonstrated proficiency with PC and software packages (MS Excel, Lotus Notes, etc.). Basic understanding of financial and investment concepts, particularly portfolio accounting. Good organizational skills. Detail oriented. Ability to operate general office equipment, including photocopier, fax and postage machines. LANGUAGE SKILLS Ability to read and comprehend instructions, short correspondence, and memos. Ability to write simple correspondence. MATHEMATICAL SKILLS Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio and percent and to draw and interpret bar graphs. REASONING ABILITY Ability to apply common sense understanding to carry out instructions furnished in written, oral or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
