Job description Midstates Recreation is a leading dealer in the Midwest for Commercial Playground Equipment and Open Space Amenities. We are seeking a highly organized and thorough Order Entry Specialist. General Job Description: Receives and processes orders. Maintains records of prices, delivery dates, and other data related to each transaction. Utilizes a database or tracking system to process orders. Responds to customer inquiries by telephone or e-mail to provide non-technical problem resolution. Resolves mostly routine and some non-routine, more complex problems and communicates solution or requested information to the customer. Analyze a customer's needs and refers to other departments for follow up as needed. Responsibilities
Order Processing: Receive orders from representatives and input into accounting software, communicating efficiently with staff and reps regarding orders.
Enter orders according to individual vendor requirements.
Communicate with vendors about orders; sending Purchase Orders.
Receive invoices from vendors and code for accounting to process.
Record Keeping/Filing: Keeping a daily filing system for inventory related tracking documents and all customer related documents. Filing should be done electronically, and also in paper folders for easy reference.
Customer Service: Communicating on the phone and via email with the customers, properly answering customer questions, customer concerns, receiving purchase orders, and taking messages in a professional manner.
Submit warranty requests to vendors when needed.
Work with staff to coordinate installations with product ship dates as needed.
Make sure invoices from vendors match purchase orders.
Support the office staff in a variety of general office and clerical tasks.
Enter leads into accounting software and assign to proper sales representative for follow up.
Process credit card payments and code for accounting.
Other tasks as assigned.

Ability to prioritize, multi-task, and meet deadlines in fast paced environment.
High degree of accuracy and attention to detail.
Strong organizational and data management skills.
Basic understanding of invoicing and crediting processes.
Strong written and verbal communication skills and customer service orientation.
Problem solving skills.
Ability to work efficiently with a team and independently.
Must have Excel experience.
