True Building Performance is seeking a well-organized and personable Office Manager to join the team and provide outstanding customer service to clients within the Capital Region. This is a full time in person opportunity open to individuals with strong customer service skills who enjoy helping clients create safe, energy-efficient homes. About The Opportunity As an integral member of the True Building Performance team, the Office Manger will be tasked with effectively managing daily office operations and providing ongoing support to the owner and sales team members. We have a strong team of seasoned professionals and we offer excellent service to the right customers. You will be tasked with fielding initial inbound calls from a diverse clientele of potentially new and currently existing clients. You would be handling customer questions in order to empower our energy audit teams to spend their time on the right clients, while leaving every inbound customer feeling grateful for the high value information we offer them whether they become clients or not. The ideal candidate will possess the patience, professionalism, and problem-solving ability to manage these situations effectively, and anyone with a calm, patient and empathetic customer service mentality would thrive here. Key Responsibilities
First and foremost unloading administrative responsibilities from the owner so he can focus on day to day operations.
Courteously interacting with all clients, even in challenging situations.
Promptly responding to inbound calls and emails with a calm, empathetic demeanor.
Educating customers on the benefits of energy efficiency.
Accurately filing documents and scheduling appointments as required.
Performing general accounting functions and tasks (e.g., invoicing).
Working in tandem with the Sales team to ensure customer satisfaction.
Qualifying inbound leads using our standard operating procedures.
Scheduling inbound appointments.
Managing schedules for multiple staff members at various job sites.
Managing our company Customer Relationship Management (CRM) Tool
Essential Skills & Qualifications The Office Manager role is an excellent opportunity for an individual who enjoys working collaboratively and has a knack for building meaningful relationships with others. Candidates must demonstrate resilience and a strong ability to de-escalate tense conversations while maintaining professionalism. Successful candidates will have:
Excellent customer service skills with an ability to diverse customer interactions effectively.
Strong computer literacy skills.
Proficiency in Google Drive, Google Docs, and Google Sheets.
Experience using a CRM
Experience with scheduling tools (we use Podio for scheduling and CRM)
Ability to manage multiple schedules and prioritize tasks.
Impeccable written and verbal communication skills.
An analytical mindset with the ability to independently solve problems.
A natural ability to prioritize, organize, and stay calm under pressure.
Previous experience in the home service business industry (HVAC, plumbing, etc.) is ideal but not mandatory.

Patience, empathy, and the ability to defuse frustration from clients.
Strong interpersonal skills and emotional intelligence to connect with a wide range of clients.

High School Diploma or equivalent; Associate Degree or higher preferred.
Minimum of two (2) years of office administration experience.
Working knowledge of MS Office and Google Drive.

Pay: $18.00 per hour, to start with opportunities for performance bonuses and growth with the company
Schedule:
9-5 9-hour shift with 1h for lunch.
Day shift, Monday to Friday.
