JOB SUMMARY:
We are looking to hire an Office Administrator for our Alhambra office. The office administrator would be responsible for day-to-day operations and should demonstrate excellent organization and communication skills. Knowledge of healthcare, electronic health record systems, and medical billing are preferred but not required (we provide training!).
THE BASICS:
Job Type: Full-Time
Schedule: 9:00 am to 6:00 pm
Location: Alhambra
Pay rate: $18-20/hr. depending on experience
RESPONSIBILITIES:
- Maintain schedules for both therapists and clients daily
- Handle incoming and outgoing correspondence, including mail, emails, letters, fax, and phone calls
- Respond to patient inquiries for services via phone and email in a professional and timely manner
- Create and update standard reports consistently
- Reach out to insurances directly to resolve issues and inquiries
- Submit medical billing on a consistent basis
- Check client eligibility monthly
- Submit authorization requests to insurances for services
- Maintain client records and accounts
- Develop and implement organized file systems
- Create and document administrative and clinical processes
- Assist in the on-boarding process for new hires
- Assist with payroll process
- Import data into our accounting system
- Perform all other administrative tasks as needed
QUALIFICATIONS:
- Prior experience as an Office manager or administrative assistant is preferred
- Proficiency in MS Office (MS Excel and MS Outlook, in particular)
- Medical billing/management knowledge preferred
- Hands on experience with office machines (e.g. fax machines and printers)
- Strong organizational and planning skills in a fast-paced environment
- High School degree; additional qualification as an administrative assistant or Secretary will be a plus
- Computer literacy
- Must be able to handle confidential information
- Bilingual (English and Spanish/Mandarin) communication skills (written & spoken) a plus
