Legislative Secretary

The Legislative Affairs Agency is currently collecting an applicant pool for one or more House Records Secretary positions for the 34th Alaska State Legislature, First Session. This applicant pool will be maintained through January 31, 2025, and may be used to fill vacant positions in House Records as early as November 14, 2024
Duties and Responsibilities:
Duties and responsibilities vary depending on office needs. They may include, but are not limited to, the following:


  • attending committee meetings and taking minutes
  • reporting committee action
  • transcribing recordings in the prescribed format
  • maintaining meeting files and committee logs
  • editing draft minutes and finalizing minutes to BASIS
  • maintaining lines of communication with other support staff and committee aides
  • maintaining office calendar
  • serving as first point of contact within the office
  • answering phones
  • ordering supplies
Knowledge, Skills and Abilities:

Knowledge of the legislative process.
  • Ability to read, write, and command the English language.
  • Type 7.5 hours per day.
  • Ability to synthesize information, edit, and proof read in order to produce a set of minutes.
  • Provide attention to detail.
  • Ability to use research materials such as the Alaska Statutes.
  • Ability to work independently and change duties in midstream.
  • Strong computer skills; Proficiency with Microsoft Outlook, Word and Excel;
  • Professional decorum and demeanor;
Supervisor's Comments:

The House Records committee secretary position requires a very detail-oriented person, as there are many intricate procedures. Accuracy and the willingness to double-check details are critical. Furthermore, committee secretaries often have to change tasks in midstream. After committee secretaries are trained, they basically work independently with minimal direction. Although much work is performed independently, the position requires a team player as there will be times when a committee secretary must help complete minutes for other committees as assigned.

Employees of the House Records Office are subject to the employment policies, rules, and conditions of employment for legislative staff as adopted and amended by the legislature. Under Alaska Statute (AS 24.10.060), during legislative sessions employees must work as many hours as required by their supervisor and are on call seven days a week. It should also be noted that most often employees are required to work on legal holidays during the session. Overtime hours are uncompensated. The regular office hours for the House Records staff are from 8:00 a.m. to 5:00 p.m. Monday through Friday. However, on frequent occasions, committee secretaries are required to work evenings or weekends, or to come in for early meetings. Legislative Branch employees are subject to the provisions of the Legislative Ethics Act. This law and associated rules create some restrictions on our employees that may not necessarily be placed on other state employees. One should be aware that beyond the legal remedies for noncompliance, it is a condition of employment to comply with the Act.

Minimum Qualifications
Graduation from high school or the equivalent.

Additional Required Information
Candidates are encouraged to provide a cover letter which will be used as a writing sample. This letter will demonstrate writing capabilities and display professional work experience and/or education.

Special Note:
This is a fully exempt job class under AS 39.25.110(3).
