Job Summary
The Intellectual Property Exchange, under the Office of the VP for Research and Economic Development, is seeking an Executive Support Specialist I/II. This position involves performing
administrative work relating to management of complex events, meetings, projects, or other areas involving highly sensitive information and significant decision-making authority for The Intellectual Property Exchange.

Essential Functions
  • Compiles information and prepares reports and drafts original and routine correspondence.


  • Assists in maintaining databases; upload, update, and audit agreement records daily to ensure accuracy and completeness; query development; develops reports and analytics; analyze spreadsheets tracking agreement timelines; generate reports and visualizing data to identify our progress and growth, as well as areas in need of improvement; makes agreement SOP recommendations for updates regarding agreement entry and handling.

  • Provides general and specialized administrative support.

  • Assist with managing calendars; assist scheduling and coordinating meetings for Executive Director and ED’s direct reports; meeting preparation; prepare agendas and take minutes; provides regular updates on agreement progress.

  • Retrieves and disseminates information to a wide variety of internal and external stakeholders.

  • May be responsible for monetary expenditures at department or work group level.

  • Interacts with Auburn University officials and special interest groups and maintains positive relationships throughout Auburn and assists with alumni donor relations through fund raisers, activities, and stewardship functions.

  • Plans and coordinates complex meetings, events, and detailed travel arrangements and itineraries.

  • Exercises discretion concerning highly sensitive and confidential information, disclosure of which would likely result in major disruption of operation and or internal or external groups or the general public.

  • Responsible for IPX communication and marketing, overseeing the website and social media and assisting with drafting reports and presentations.

Minimum Qualifications

Minimum Qualifications
  • High school diploma or equivalent.
  • 4 years of experience in administrative support services.

Minimum Skills, License, and Certifications

Minimum Skills and Abilities
  • Knowledge of extensive body or rules, precedents, procedures applicable to administrative support work.
  • Strong coordination, organization, and time management skills.
  • Team player and able to work effectively with diverse work groups in a multicultural environment.
  • Excellent written and interpersonal communication skills. Must be fluent in English.
  • Knowledge of social media platforms.
