We are looking for a proactive and detail-oriented Executive Assistant to support our owner in managing daily operations, ensuring seamless communication across teams, and developing the company’s Standard Operating Procedures (SOPs).
Job Description
The Executive Assistant will handle a range of administrative, financial, and logistical tasks essential to the smooth operation of our business. This role will free up the owner’s time by expertly coordinating tasks and ensuring that both internal and external communications are timely and effective. Additionally, this role involves creating, organizing, and documenting SOPs for various company functions, ensuring consistency and efficiency across all operations. The ideal candidate will possess strong organizational and communication skills, be bilingual in English and Spanish, and be comfortable working in a dynamic environment.
Key Responsibilities 1. Executive Support
Email & Calendar Management: Organize, prioritize, and summarize the owner’s emails and calendar daily.
Personal Assistance: Handle personal tasks and bookings to streamline the owner’s schedule.
Travel Arrangements: Coordinate all business and personal travel logistics, ensuring all details are managed.
Documentation: Assist with organizing and obtaining reports, handling hotel credit card authorizations, and managing refunds.
2. CRM and Bookkeeping Management
CRM (Job Nimbus): Keep metrics, proposals, bids, and reports organized and up-to-date.
Quick Books Management: Categorize expenses, run profit and loss reports, ensure timely payment processing, and manage invoices and contractor pay stubs.
Coordination with CPA: Ensure taxes are filed promptly.
3. External Communications & Coordination
Client and Partner Communications: Maintain regular and timely communication with clients, subcontractors, project managers, and foremen.
Logistics Coordination: Facilitate project logistics and confirm travel and lodging arrangements for crew.
Deadline Management: Proactively follow up on deadlines with subcontractors, vendors, and partners.
4. Operational Efficiency
Documentation Management: Oversee organization and filing of COIs, W9s, bond documents, contracts, and lien waivers.
SOP Creation: Develop comprehensive Standard Operating Procedures for critical company functions, ensuring consistent and efficient workflows.
Marketing Support: Assist in managing email marketing systems and external subcontractor management on Upwork.

Attention to Detail: Accuracy in all tasks, particularly in bookkeeping and scheduling.
Communication (Bilingual English/Spanish Required): Clear and concise communication with clients, team members, and vendors in both English and Spanish.
Time Management: Efficient handling of multiple tasks without missing deadlines.
Initiative & Proactivity: Anticipate needs, improve efficiency, and reduce bottlenecks.
Adaptability: Respond to changing priorities and last-minute demands with ease.
