JOB DESCRIPTION Position Title Department Reports to Corporate office: Director of Operations, Director of Logistics & Projects Employment Status FLSA Status Effective Date ☐ Temporary ☒ Full-Time ☐ Part-Time ☒ Non-Exempt ☐ Exempt 9/1/2022 *POSITION SUMMARY * Coordinates administrative office services and general business activities in a professional manner as directed, while providing high-level, confidential assistance to the Owner, Director of Operations, and Director of Projects & Logistics. The position exercises independent judgment in the resolution of administrative issues and applies strong attention-to-detail in all aspects, including excellent written and verbal communication skills. Complex and advanced administrative work should be accomplished with an emphasis on meeting goals that are specific, measurable, achievable, realistic, and timely. *Essential Duties and Responsibilities:* Include, but are not limited to the following: Office Administration ▪ Punctual opening of offices daily ▪ Greets & assists internal/external customers and tenants ▪ Manages incoming calls, coordinates in-person and remote meetings, and sets appointments ▪ Drafts letters, memos, web site postings, and internal/external correspondence ▪ Records control: Constructs, organizes, and maintains records/files in printed and digital form ▪ Edits correspondence, reports, online postings and other forms of communication ▪ Use of Microsoft Office Suite to create spreadsheets, relational databases, statistical & graphics packages to assemble and format data for reports ▪ Locates and compiles information, formats reports, graphs, and tables in Excel ▪ Computer operations: e-mail, electronic calendars, and other basic office support software ▪ Coordinates luncheon arrangements and runs errands as requested: vendors, bank deposits, etc. ▪ Assists with special events planning Real Estate Administration ▪ Procure and collate insurance documents for vendors and contractors ▪ Assists with compilation of property tax data, documents, and reports ▪ Assists with implementing contracts and services provided by third party contractors ▪ Administrates accounts receivables/payables, track operation expenses, and creates reports ▪ Obtain material and service quotes from suppliers and vendors ▪ Coordinates and addresses tenant communications and service issues ▪ Create online content for company web site 1 Tenant Administration ▪ Use of property management software to monitor online service request system ▪ Work with maintenance personnel to resolve service request completion ▪ Monitor lease renewals, research lease addendums to maintain compliance ▪ Communicate with tenants regarding account status ▪ Create and maintain online content for tenant portal web sites ▪ Administrates rent payments: base rent, property taxes, and common area maintenance ▪ Calculates, reconciles, and posts figures relevant to annual operating costs per tenant/site Customer Service ▪ Provides concierge-quality service ▪ Adequately addresses issues identified by customers/tenants ▪ Interacts with coworkers and supervisors in a cooperative, teamwork manner *MINIMUM QUALIFICATIONS (KNOWLEDGE, SKILLS, AND ABILITIES)* * High School Diploma or GED * Bachelor’s degree in associated field * Five (5) years of related experience, relevant and applicable to the position * Prior experience supporting Senior level management positions * Proficient in Microsoft Office suite. Yardi Breeze Portfolio software preferred * Accounts payable/receivable experience preferred *PHYSICAL DEMANDS AND WORK ENVIRONMENT * Work occurs primarily indoors, with occasional outdoor visits to sites. Physical demands described below represent those required to successfully perform essential functions of the position: ▪ Strength: lifting requirements not to exceed 35 lbs. Must be able to lift from floor to waist level ▪ Agility: lifting, stooping bending, kneeling, & crouching required ▪ Position: standing & moving for long periods; sitting for prolonged periods of time during computer usage ▪ Balancing: walking on carpeted, tiled, and concrete surfaces. ▪ Repetition: use of upper body to reach, handle, feel, and grasp materials and files ▪ Speaking & auditory: fluent and clear understandable use of language, able to hear at a five (5) foot distance ▪ Vision (correctable): perception allowing close, distant, color, focused, and peripheral vision ▪ Must be able to read and understand material in English 2 *ACKNOWLEDGEMENT * I understand this job description in no way states or implies these are the only duties to be performed by the employee(s) incumbent in this position. Pay: $28.50 - $31.50 per hour
