Associate Dean, Basic Science Administration and Finance

Associate Dean, Basic Science Administration and Finance

The Associate Dean for Basic Science Administration and finance is a senior administrative staff position reporting jointly to the Executive Vice Dean for Administration (EVDA) in the School of Medicine (SOM), The Executive Vice Dean for Clinical Sciences & Research Administration (EVD-CS)and the Executive Vice Dean for Basic & Preclinical Sciences (EVD-BS). This position will be the key liaison between the basic science, center and institute Chief Administrative Officers (CAOs), the SOM Dean’s Office, and other School and University administrative offices for financial, human resources, and other operational activities

This position cuts across all SOM departments and centers. In addition, a partner Associate Dean for Clinical Department Administration will work exclusively with clinical departments on matters which interface with the Duke Health Integrated Practice – departmental budgets in both DHIP and SOM, clinical faculty recruitment and retention, clinical staff HR, mission-based alignment of effort and expense, etc. The Associate Dean for Basic Science Administration will focus on all academic administrative areas that are not related to the Duke Health Integrated Practice (DHIP). The Associate Dean will partner with the Assistant Dean for Basic Science on day-to-day operations related to the basic science departments, and maintains responsibility for strategic leadership, high-level issue resolution, and coordination across all relevant units, including both basic science and clinical departments.

WORK PERFORMED

Responsibilities managed by the Associate Dean:

  • Work closely with the EVD-CS in coordinating research administration and compliance policies and processes with all departments and centers/institutes. Help define processes to provide feedback from the departments to RASR/ORA and vice versa.
  • Support EVDA in managing and coordinating Basic Science Chair, Center/Institute Director and SOM Vice Dean compensation
  • Oversee and mentor the Assistant Dean for Basic Science on financial and departmental management


Responsibilities of the Associate Dean, with support by the Assistant Dean:

  • Resolve issues raised by basic research faculty and business managers on matters related to finance, human resources issues related to staff, faculty recruitment, space, benchmarks, systems, research administration, etc.
  • Work closely with the EVD-BS, EVD-CS and the Finance Office to resolve faculty compensation issues (merit, equity, retention and incentive plans)
  • Help CAOs negotiate, as needed, difficult topics between departments/centers (e.g., moving faculty from a department to a center, including issues related to sharing of indirect and space assignment) and other schools in the University
  • Work closely with SOM Human Resources offices in the administration of human resources policies and processes involving the basic departments, centers, and institutes within the SOM
  • Develop and manage a CAO mentorship program for new hires and CAOs with needed areas of development
  • Provide coaching for basic science department and center/institute CAOs and coordinate bi-annual CAO development retreats

Responsibilities for which the Associate Dean holds ultimate oversight, with basic science department operations delegated to the Assistant Dean for Basic Science:

  • Interact directly with Chairs and CAOs on finance, performance, and organizational structure questions; provide regular management reports to Dean's Office
  • Conduct routine meetings with CAOs to disseminate information and discuss current issues
  • Coordinate department financial/budget meetings with senior administration
  • Assist SOM Appointments, Promotions, and Tenure Office in administering faculty processes and policies with departments (e.g., faculty offer letter review, appointment requirements, etc.)
  • Establish relationships with finance professionals in the departments, centers/institutes, and University, leading to increased trust and cooperation
  • Serve as a key thought leader in the budget process, including the effort to create consistency of accounting practices
  • Continue to refine roles, responsibilities, and accountability methods for finance/accounting/management functions which cross University, management center and departmental organizational lines
  • Assist the executive vice deans with new strategies for efficiency and/or revenue generation


KSA’s

  • Experience with financial practices in a fund accounting environment
  • Experience in a science lab preferred, not required
  • Some experience managing human resources, facilities, faculty appointments or graduate medical education administration


MINIMUM QUALIFICATIONS

Education

Bachelor's degree in business or science field. With advanced degree or CPA preferred.

Experience

Ten years of experience managing finance and/or operations in a school of medicine research unit, department or center.
