WHAT WILL YOUR MAIN RESPONSIBILITIES BE We are seeking an organized and detail-oriented Engineering Admin & Procurement Specialist to join our dynamic team. The ideal candidate will be responsible for managing and tracking various administrative and procurement tasks within the engineering department, ensuring smooth operations and compliance with all regulatory requirements.

Experiences & Qualifications
Shift and Leave Management:
Create and manage shift schedules and annual leave plans for the engineering team.
Contractor Management:
Track and control contractor progress payments.
Create purchase requisitions for contractor progress payments and Capex.
Track and report contractor assurance and organize assessments.
Manage contracts with permanent engineering contractors.
Perform new vendor and supplier registration and assess alternative suppliers.
Procurement and Budgeting:
Create and track purchase requisitions (PR) and open purchase orders (PO).
Track and report purchase requisitions waiting for procurement.
Create frameworks for consignment spare parts and support procurement for contracting.
Track and manage account transfers from RM to Capex.
Handle goods receipt of contractors and service suppliers.
Follow up on compliance for PO, GR, and invoices.
Create vendor extensions
Training and Orientation:
Develop orientation plans and mandatory training matrices for the engineering team.
Create and track training matrices, ensuring all team members complete required training.
Personnel and Timekeeping:
Manage seasonal personnel processes for the engineering team.
Oversee the technician timekeeping system and follow up on overtime.
Regulatory Compliance:
Manage legislations and regulatory documents, including licenses and payments.
Create audit documents for third-party audits of the engineering department.
Qualifications:
Minimum of 3-5 years of experience in a multinational company at administrative or procurement role, at Supply Chain or manufacturing environment.
Minimum associate’s degree in related fields
Strong understanding of procurement processes, vendor management, and contract.
Experience with ERP systems (e.g., SAP,) and procurement software.
Knowledge of regulatory compliance and audit preparation.
Proven ability to manage budgets and perform risk assessments.
Excellent organizational and multitasking skills.
Proficiency in Microsoft Office Suite (Excel, Word, Power Point).
Excellent communication and interpersonal skills.
Ability to work collaboratively with various teams and departments.
Ability to adapt to changing priorities and work environments.
High level of accuracy and attention to detail in all tasks.
